We have a vacancy for a Band 4 Senior Medical Secretary & Team Leader to join the Plastic Surgery department administrative team on a permanent basis. It is essential that the successful applicant is able to work effectively as part of the team supporting and assisting colleagues, whilst prioritising and managing their own workload.

Main duties of the job For this role you will work within a multi‑disciplinary team, and be responsible for a range of duties related to patient pathway management, including, but not limited to: managing outpatient and inpatient waiting lists, including arranging elective admissions and booking patients onto theatre lists; validation of patients RTT pathways, rescheduling appointments; diary management; audio transcription and word processing of clinical letters; production of reports and other correspondence as required for the Plastic Surgery services.

As well as providing a comprehensive administrative and secretarial function; the post holder will also help lead, manage, and develop a responsive administration service. This is to ensure effective and efficient management of resources to achieve national and local performance targets.

You should be literate and numerate, with excellent organisational, time management and IT skills and an ability to work without supervision.

Medical secretarial and admin experience is essential. An audio typing test will be required at interview.

You will have a high standard of communication and interpersonal skills with the ability to work with staff at all levels. You will have enthusiasm, motivation and demonstrate pride in your work.

Person Specification Experience

Previous Medical Secretarial Experience

Experience in developing and implementing administrative systems, processes and procedures

Line Management/supervisory experience including recruitment, appraisal, etc

Skills

Literacy and Numeracy skills

Excellent verbal and written communication skills

Ability to achieve thoroughness and accuracy when accomplishing a task

Shorthand

Knowledge

Sound knowledge and understanding of Microsoft Office packages, including Excel and Power-point, internet, e‑mail etc…

Knowledge of Patient Administration System (or equivalent system)

Knowledge of Medical Terminology

Working knowledge of Trust's Access Policy and other National/Local targets ie. Cancer, RTT, non‑applicable, planning and management of in‑patient and outpatient waiting lists.

Educated to GCSE standard*

Medical Secretary Diploma

Advanced secretarial qualifications
