Overview The

Meeting and Tradeshow Manager

oversees end‑to‑end planning and execution of corporate meetings, industry conferences, and events. This role drives strategic meeting management, budgeting, booth design, logistical planning, and onsite execution to deliver exceptional customer experiences.

Key Responsibilities Tradeshow Management

Lead the development and execution of exhibits and promotional assets at industry conferences.

Shape tradeshow strategy, implement it, and measure impact of Zoetis exhibit hall booths and promotional content.

Collaborate cross‑functionally with marketing, sales, and external agencies to align messaging and deliver on schedule.

Oversee booth concept, design, production, and setup for all events.

Coordinate with creative teams and external vendors for custom booth elements, signage, and giveaways.

Manage relationships with external partners to meet business objectives.

Deliver an exceptional customer experience while achieving business goals.

Attend conferences and manage booth logistics before, during, and after events.

Train booth staff and manage all logistical support.

Optimize budgets to maximize impact.

Track expenses, negotiate vendor contracts, and identify cost‑saving opportunities.

Manage inventory and warehoused assets for corporate and field‑based events throughout the year.

Maintain the master calendar for all tradeshows, conventions, and industry events.

Meeting Planning

Plan and execute corporate sales meetings and customer events for internal stakeholders and veterinary professionals.

Develop and manage budgets for each event, ensuring cost‑effectiveness and accurate reporting.

Oversee venue sourcing, contract negotiation, attendee registration, catering, transportation, room setup, audiovisual needs, and signage.

Develop detailed timelines, checklists, and run‑of‑show documents for each event.

Coordinate attendee travel arrangements, hotel blocks, ground transportation, and travel communications.

Manage invitation lists, track responses, and communicate special accommodations.

Identify cost‑saving opportunities while maintaining high‑quality attendee experiences.

Serve as primary onsite contact, managing logistics, troubleshooting issues, and ensuring all elements are executed per plan.

Conduct post‑event evaluations, collect feedback, and implement improvements for future events.

Reconcile event expenses and provide final reporting to stakeholders.

Qualifications

Ability to create immersive, memorable experiences that drive results.

Strong business acumen with strategic and innovative thinking.

Experience directing and managing multiple vendors and agency relationships.

Experience with booth design and working with creative and production vendors.

Demonstrated understanding of customer experience principles in a B2B environment.

Proficiency in managing tradeshows and multifaceted meetings with meticulous attention to detail.

Effective organizational, project management, and communication skills.

Time‑management skills with ability to multi‑task while meeting deadlines.

Excellent verbal and written communication skills.

Capacity to solve challenges when faced with unexpected situations.

Requirements

BA/BS required, preferably in Meeting/Event Management, Hospitality, Marketing, Communications, or related field.

5‑7+ years of experience in meeting planning and event/trade show marketing with a strong track record of driving effective business and digital strategies.

Direct experience planning meetings, events, and managing tradeshows within the animal health or pharmaceutical industries is strongly preferred.

Ability to travel up to 40‑50% of the time.

Strong computer skills in Microsoft Office (Excel, Word, PowerPoint) and experience using AI for research or meeting planning.

Proficiency in Cvent Web Registration and Mobile Applications.

CMP (Certified Meeting Professional) or similar certification preferred.

Salary Base salary range: $91,000 – $131,000. Additional compensation includes short‑term incentive and long‑term incentives.
