The Department of Pediatrics is seeking a professional, proactive, and positive individual to join our team as an
Administrative Associate (Lead Role) . This position serves as the lead administrative support for the division and works closely with the Division Chief in collaboration with the Division Operations Administrator to ensure administrative operations are efficient, well-coordinated, and executed with a strong sense of business acumen. The division’s lead administrator acts as a liaison between the division and departmental operational support teams such as Clinical Operations, Facilities, Faculty Support, Financial Affairs, Human Resources, and Research Administration. In addition to leading faculty and classified staff recruitment and onboarding, serving as the primary timekeeper, reconciling divisional funds, and coordinating special events and conferences, this role will determine work priorities, manage resource utilization, and contribute to the division’s overall operational effectiveness. Supervises one staff member. Responsibilities
Directly supervises one administrative staff member within the division. Provides day-to-day leadership, workload coordination, and performance feedback. Identifies training and development needs and supports ongoing professional growth for administrative personnel. Serves as the primary point of contact for administrative process questions and ensures consistency, accuracy, and compliance across the division’s operations. Relieves supervisor of various internal administrative duties, reviews department policy manuals, and updates or institutes changes as necessary; provides comprehensive administrative support to leadership as directed. Monitors and maintains unit's budget; provides input to supervisor; prepares and submits budgetary reports; assists with the annual budget process. May have delegated approval authority for expenditures and coordinates items requiring Chair level approval. Coordinates supervisor's schedule; makes travel arrangements and plans meeting itineraries for supervisor or outside visitors. Coordinates details of faculty and staff recruitment; initiates personnel action documents; coordinates appointment process for foreign nationals. Pre-screens staff applicants; coordinates interview process; conducts orientation and training for administrative staff. Coordinates scheduling and use of facilities and assets; maintains space records; recommends and approves purchase of equipment and furniture; maintains inventory files. Approves vacation and sick leave transactions and interprets related policies for unit personnel. Prepares or coordinates complex reports requiring contact with other departments and external organizations. Provides professional support for special projects, including editorial and administrative support for manuscripts and abstracts, prepares materials for presentations and courses, and assists with grants and contracts where applicable. Maintains sub-ledgers and ledgers for various accounts, reconciles expenditures, and ensures appropriate use of funds. May provide working supervision for staff of lower rank. Performs other duties as assigned. Work Environment / Schedule
This position will be on-site during the initial training period to ensure understanding of departmental operations and systems. Upon successful completion of training, the role will transition to a hybrid work schedule, combining on-site and remote work in alignment with departmental needs and university policy. Benefits

Education: High School Diploma Experience: 4 years related work experience; may consider higher education completed in lieu of minimum requirements. Job Duties
Relieves supervisor of various internal administrative duties, understands unit and university policies, and may support upper-level administrators. Monitors and maintains the unit’s budget; contributes to budget processes; may have delegated approval authority for expenditures. Coordinates supervisor’s schedule, travel, and meeting arrangements. Coordinates recruitment and onboarding for division; handles appointment processes for foreign nationals where applicable. Pre-screens applicants, coordinates interviews, and conducts orientation for administrative staff. Coordinates scheduling of facilities and assets; maintains space records and inventory. Supports leave transactions and interprets related policies. Prepares complex reports and supports special projects, including editorial and grant-related tasks as applicable.
