Classification Title: Executive Assistant - Journey Working Title Executive Assistant

Work Schedule: 8:00 am – 5:00 pm Monday – Friday (Occasional evening and weekend hours may be required)

Primary Purpose of Position This position serves as the Executive Assistant to the Dean of the College of Computing and Informatics.

Minimum Education / Experience

Graduation from high school and three years of progressively responsible administrative/office management experience; or

Graduation from a two‑year secretarial science or business administration program and one year of experience as described above; or

Graduation from a four‑year college or university, preferably with a major emphasis on Business Administration or a related field; or an equivalent combination of training and experience.

Key Responsibilities

Administrative support including calendar management, email management, document management, and office management.

Schedule meetings with C‑suite executives, external stakeholders, advisory boards, and other key individuals, and coordinate travel arrangements for the Dean.

Create, edit, and format documents such as letters, reports, and presentations.

Provide executive support including project coordination, relationship management, stakeholder relations, and proactive problem‑solving; proactively anticipate and address the Dean’s needs and priorities.

Collaborate with the college and department review committees to assist the Dean with confidential personnel matters, including faculty reviews, promotions, and tenure processes.

Coordinate events in which the Dean participates.

Provide a high level of personalized support to the Dean in daily activities and handle a wide range of requests and inquiries effectively and efficiently.

Maintain a high degree of discretion and confidentiality in managing sensitive matters related to the Dean’s office.

Other Work Responsibilities Other duties as needed to provide a high level of administrative support to the CCI College Dean.

Preferred Experience, Skills, Training / Education

Prior experience in higher education directly supporting an academic administrator.

Confidence in managing confidential information, travel processing, and P‑card reconciliation.

Skill in research and data summary for executive decision‑making.

Proficiency with Google Suite, Zoom, and Concur.
