The Role We're seeking an exceptional Part-Time Executive Assistant to serve as a strategic partner to our leadership team. This is not just an administrative role—you'll be the operational backbone that enables our executives to focus on innovation, partnership development, & advancing our life-saving mission. The ideal candidate thrives in a fast-paced medical device environment, demonstrates exceptional organizational excellence, and brings both professionalism & proactive problem-solving to everything they do.
Due to our work with government & military partners, this position requires a clear criminal background & the ability to obtain Secret security clearance.
Key Responsibilities Executive Support & Calendar Management
Manage complex executive calendars with strategic prioritization, coordinating across multiple time zones & stakeholders
Anticipate scheduling conflicts and proactively resolve them while maintaining seamless daily operations
Prepare executives for meetings with briefing materials, agendas, & relevant documentation
Communication & Stakeholder Relations
Serve as the primary point of contact between executives & internal/external stakeholders, including government entities, military partners, & vendors
Draft, review, and manage professional correspondence, presentations, & reports with meticulous attention to detail
Handle sensitive & confidential information with absolute discretion, particularly regarding proprietary medical technology & partnership negotiations
Operations & Project Coordination
Coordinate travel arrangements including flights, accommodations, & detailed itineraries for domestic & potential international business travel
Manage expense reporting and reimbursements in accordance with company policies
Support cross-functional projects and initiatives, tracking deliverables & ensuring deadlines are met
Maintain organized filing systems (both physical and digital) for critical company documents
Meeting & Event Support
Organize internal & external meetings, including preparation of materials & taking detailed meeting notes with actionable follow-up items
Coordinate company events, board meetings, & partner engagements
Ensure smooth logistics for office operations & special projects as needed
Required Qualifications Experience & Education
Minimum 3 years of proven experience as an Executive Assistant or in a similar high-level administrative role supporting senior leadership
Experience in medical device, healthcare, biotechnology, or highly regulated industries strongly preferred
High school diploma required; Associate's or Bachelor's degree in Business Administration, Communications, or related field preferred
Security Clearance Requirements
Must have a clear criminal background check
Must be able to obtain & maintain Secret security clearance (company will sponsor the clearance process)
Must be a U.S. citizen or permanent resident eligible for security clearance
Ability to pass comprehensive FBI background investigation including financial, criminal, & personal history review

Communication Mastery : Outstanding written & verbal communication skills with the ability to interact professionally with C-suite executives, government officials, & diverse stakeholders

Discretion & Confidentiality : Proven track record of handling sensitive information with the highest level of professionalism & integrity
Proactive Problem-Solving : Ability to anticipate needs, identify potential issues before they arise, & implement solutions independently
Adaptability & Flexibility : Comfortable working in a dynamic startup environment where priorities can shift & where initiative is valued

Certification such as Certified Administrative Professional (CAP) or Microsoft Office Specialist
