The Executive Assistant to the Chancellor performs a wide variety of executive administrative support duties in support of the Chancellor of the institution. Serves as a primary liaison to the Chancellor for both internal and external constituencies. Plans, researches, and coordinates all aspects of communications and appearances for the Chancellor, including managing the Chancellor’s calendar. Represents and supports the Chancellor in multiple committees, work groups, and task forces, at College-wide, local, and national levels. Identifies, addresses, and resolves daily strategic and operational issues pertaining to the entire College for successful outcomes. Provides feedback and/or recommendations on highly sensitive and confidential matters. Anticipates and performs duties required to relieve the Chancellor of administrative details and ensure that commitments and deadlines are met. The work schedule for this position is flexible and may include working evenings and weekends.

Responsibilities

Oversees and directs the daily operations of the Chancellor/CEO’s Office to align with expectations of the Chancellor, Governing Board, and the College. Coordinates and prioritizes daily functions of the Chancellor’s direct activities, maintaining and updating schedules, calendars, and agendas, and organizing travel logistics as needed. Serves as the primary point of contact and completes administrative duties for the Chancellor and senior executive leadership. Analyzes tasks and projects requiring internal and external review, approvals, and signatures to ensure completion by deadline. Responds to internal and external inquiries. Plans, coordinates, and facilitates meetings for the Chancellor and executive leadership, as well as appearances for the Chancellor/CEO and those acting on the Chancellor’s behalf when appropriate or directed. Facilitates special events and activities. Facilitates communication and liaison activities for the Chancellor/CEO with the Governing Board, Chancellor’s Cabinet, College Leadership Council, College Foundation, campuses, external constituencies, and agencies. Composes a variety of internal and external communications; oversees, coordinates, and reviews videos, scripts and other content for speeches and presentations; arranges and coordinates locally, nationally and internationally in-person appearances and appointments. Manages workflows, determines deadlines, provides training and direction, and communicates information to College employees. Tracks and manages initiatives and/or projects set by the Chancellor. May represent the Chancellor at meetings, committees, task forces, and work groups College-wide, and at local and national levels. Coordinates agendas, outlines and creates minutes; follows up on issues as needed. Supports the Chancellor/CEO in external obligations as an active member of various local and national organizations, providing executive administrative support during leadership commitments. Assists the annual budget development process to ensure alignment of College planning with fiscal resources. Monitors the executive’s operational budget and department purchasing card. Researches, develops, and creates complex and confidential reports. Reviews presentations, talking points, and speeches related to the Chancellor/CEO’s speaking obligations. Researches and evaluates complex and highly sensitive issues and provides recommendations to the Chancellor and/or Chancellor’s Cabinet and executive leadership. Troubleshooting, fact-finding and/or investigating areas of special interest to the Chancellor/CEO, Governing Board and the College with evidence-based recommendations for review and/or action. Manages confidential dates regarding the College’s current activities, future plans, and any other sensitive issues requiring discretion. Supervises, directs, manages, and evaluates the day-to-day operations of the Support Coordinator assigned to the Governing Board, and monitors follow-up of action items. Directs and oversees logistics and preparation for Governing meetings and other events pertaining to Board activities, including the Chancellor’s evaluation. Participates in professional development to maintain knowledge of college policies and procedures, applicable state and federal legislation, and knowledge of relevant business management software applications and tools. Qualifications

Bachelor’s degree in Business Administration or a closely related field of study, and Three to five years of related experience with administrative support or An equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job Preferred

Five to eight years progressively responsible professional experience as an administrative or executive assistant in a high-paced executive office Knowledge, Skills and Abilities
