Position: Administrative Assistant (FLSA: Non-Exempt)

Reports to: Principal

General Summary

Under the direction of the pastor, business manager, School Principal, or other assigned manager, is responsible for providing secretarial and administrative support and for performing other varied functions as necessary in a school.

Essential Duties And Responsibilities

  • Support the school’s spiritual and pastoral mission
  • Abide by Catholic principles in professional and private life, and govern one’s professional and private life in strict accordance with Catholic morals and principles.
  • Work collaboratively in a positive, friendly, and professional manner with all parish, school, and diocesan employees
  • Display personal initiative, coordinate, facilitate, provide timely and accurate administrative support in matters regarding the organization
  • Maintain and respect the privacy of the persons supported
  • Manage Tuition System in collaboration with school bookkeeper/accountant and school staff
  • Help maintain the calendar of events, schedule events as needed
  • Provide necessary staff support to staff and others as requested
  • Perform other duties as assigned

Physical/Mental Requirements

Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment.

Required Activities: walking, sitting, standing, stooping, reaching, talking, handling, hearing, carrying, and keyboarding.

Basic Qualifications

  • Must have a working knowledge of and strong commitment to the mission of the Diocese and Catholic Church; be in full communion with the Church
  • Excellent communication skills, verbal and written; excellent human relations and interpersonal skills
  • Exercise courtesy to fellow employees and the general public
  • Must be a self-starter, well organized and perform multiple tasks simultaneously and work with a sense of urgency
  • Ability to maintain confidentiality
  • Ability to work collaboratively in a team environment; punctuality is a must at all times; ability to travel locally as required; weekend and overtime work may be required
  • Proficiency in computer technology to include Microsoft Word, Excel, and Publisher
  • Professional bearing, clean and neat personal appearance
  • Ability to successfully complete a criminal history and background check

Education And Experience

  • Graduation from a 2‑year college in business or public administration, or equivalent experience
  • Two to five years experience in a high‑activity environment as an administrative assistant or secretary, or equivalent

Language Skills

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; ability to write reports, business correspondence and procedure manuals; ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees and the general public.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions; ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
