Executive Assistant
Position Number: 001968 | Classification Title: Executive Assistant - Journey | Division: Academic Affairs | Department: College of Computing & Informatics | Work Unit: College of Computing & Informatics | Work Schedule: 8:00 am - 5:00 pm Monday - Friday (Occasional evening and weekend hours may be required)
Salary Range: $51,498 - $60,000 (Non Exempt)
Primary Purpose
This position serves as the Executive Assistant to the Dean of the College of Computing and Informatics.
Responsibilities
Administrative support including calendar management, email management, document management, and office management.
Schedule meetings with C‑suite executives, external stakeholders, advisory boards, and other key individuals; coordinate travel arrangements for the Dean.
Create, edit, and format documents such as letters, reports, and presentations.
Provide project coordination, relationship management, stakeholder relations, and proactive problem‑solving; anticipate and address the Dean’s needs and priorities.
Assist the Dean with confidential personnel matters, including faculty reviews, promotions, and tenure processes.
Coordinate events in which the Dean participates.
Provide a high level of personalized support to the Dean in daily activities and handle a wide range of requests and inquiries effectively and efficiently.
Maintain a high degree of discretion and confidentiality in managing sensitive matters related to the Dean’s office.
Qualifications
Graduation from high school and three years of progressively responsible administrative/office management experience; OR graduation from a two‑year secretarial science or business administration program and one year of experience; OR graduation from a four‑year college or university with a major emphasis on Business Administration or related field; or equivalent combination of training and experience.
Prior experience in higher education directly supporting an academic administrator.
Confidence in managing confidential information, travel processing, and P‑card reconciliation.
Skilled in research and data summary for executive decision‑making.
Proficiency with Google Suite, Zoom, and Concur.
