Overview
The Payroll Specialist will be responsible for the end-to-end processing of payroll and maintaining related records, ensuring compliance with all internal and external regulations.
Responsibilities
Payroll Processing:
Process accurate and timely bi-weekly or semi-monthly payroll
Data Management:
Accurately enter and maintain all employee payroll data, including new hires, terminations, changes to pay rates, withholdings, benefits deductions, and garnishments.
Compliance & Reporting:
Ensure compliance with federal, state, and local payroll, wage, and hour laws. Calculate and remit multi-state payroll taxes and file required reports.
Time & Attendance:
Review and reconcile timekeeping records (e.g., electronic time clocks, PTO requests) for accuracy and approval before processing payroll.
Employee Support:
Serve as the primary point of contact for employees regarding payroll issues, vacation accruals, W-2s, and direct deposit inquiries, providing excellent customer service.
Month/Year-End:
Assist with month-end close procedures, including preparing payroll journal entries and reconciling payroll-related general ledger accounts. Process and distribute accurate year-end W-2 forms.
Audits:
Support internal and external audits by providing documentation and responding to inquiries related to payroll records and procedures.
Qualifications
Experience:
2+ years of dedicated experience processing multi-state payroll for a company of similar size.
Software Proficiency:
Proven expertise with a major payroll system (e.g., ADP Workforce Now, Paychex, UKG, etc.).
Technical Skills:
Proficiency in Microsoft Excel (e.g., VLOOKUPs, Pivot Tables) and experience with HRIS systems.
Knowledge:
Comprehensive knowledge of federal, state, and local wage and hour laws, payroll tax regulations, and general accounting principles.
Education:
High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or Business is a plus.
Salary:
$70,000 - $80,000 per year
