Job Summary

The purpose, scope, and main function of the Student Services Analyst position is to oversee the New Student Welcome Room and front desk area, assist with admissions processes, and coordinate, execute, and monitor targeted recruitment strategies. It provides contact-centered, high-touch customer service in the modalities of admissions, recruitment, and other campus related services.

This position supervises college recruiters and oversees the New Student Welcome Room and front desk area. The Student Services Analyst position leads efforts to recruit and admit new students through the development and implementation of integrated marketing and recruitment strategies necessary to meet the enrollment goals. It provides essential services to new and continuing students, community members, and guests in order to support the Welcome Center functions in effort to ensure student success. Represent the college's interests during high profile events and to a wide range of constituents (e.g., state legislators, community leaders and organizations, parents, and students), venues (e.g., college fairs and programs, local, state, and national conferences, and events).

Essential Functions

35% Program/Operation Implementation

Assist new and continuing students in all student services inquiries and processes related to Admissions, Registration & Record, etc.

Monitor and communicate with prospective students throughout the recruitment process.

Prepare students for admissions and onboarding processes.

Build and maintain relationships with university career centers.

Ensure a positive student experience from application to admission.

Establish and maintain relationships with internal and external constituents to create a pipeline for student recruitment, to showcase programs, provide pre-admission advice, and counsel relative to the recruitment and admissions processes.

Address general inquiries related to Admission policies and processes through phone, email, and virtual platforms.

Assess students' needs and interests and guide them towards suitable programs at the institution.

Identify and target high-potential students at colleges and universities.

25% Leadership

Oversee and manage daily operations of the Welcome Center and ensure all inquiries, walk-ins, and appointments are handled efficiently.

Develop, implement, and assess strategies to enhance the student experience at the Welcome Center. Ensure a high standard of customer service in the Welcome Center through staff coaching and support.

Coordinate and manage all campus tour scheduling, logistics, and follow-up for individual/group visits.

In collaboration with administration and colleagues, develop and disseminate outreach campaigns designed to yield or onboard new students by encouraging campus visits, application submission, placement exam completion, and course registration; support efforts to guide prospective students through the admissions funnel from inquiry to enrollment.

Streamline communication process with prospective students and families regarding campus visit experience and advise on next steps including Testing Center and New Student Academic Advisement Center.

Collaborate with campus partners to streamline onboarding processes. Communicate new policies, procedures, and practices to front-line staff and ensure consistent messaging.

Create and manage reports related to Welcome Center traffic, campus visits, student advisement metrics, and service outcomes.

Compile, analyze, and interpret student data, event outcomes, and recruitment patterns. Regularly communicate findings to senior leadership.

Coordinate recruitment efforts and work with leadership to develop and refine specialized recruitment initiatives.

Maintain, implement, and oversee a holistic recruitment yield tactical plan for recruitment.

Develop, implement, and administer plans, programs, and events for general and targeted student recruitment in support of organizational goals.

Integrate a diverse and strategic communications strategy.

Identify and develop partnerships for outreach to prospective students and influencers.

Interpret academic policies and exercise authority and independent judgment.

Plan, implement, and evaluate programs and processes and determine the effectiveness of markets and strategies. Use census data and modeling tools to identify effective marketing plans and strategies to address specific populations.

Collaborate with internal and external stakeholders to identify targets of opportunity to attract and enroll different student populations. Participate in the assessment and evaluation of various models.

May attend meetings or serve on committees with admissions stakeholders; may provide guidance to other admissions counselors.

Recommend and participate in designing and implementing overall recruiting strategy.

Work independently, under pressure, to prioritize assignments, and to exercise good judgment at all times.

Process recruiting-related expenses.

Stay updated with the latest developments in education policies, admission processes, and changes in scholarship programs.

20% Data Tracking, Reporting and Compliance

Ensure compliance and follow, understand, and adhere to federal, state, District Office, and institutional regulations/laws/policies.

Maintain accurate, complete, and confidential student records, files, and correspondence as required by FERPA, accreditation agencies, school policies, and administrative regulations.

Monitor the compliance and reporting standards and remain abreast of district, state, and federal regulations.

Utilize relevant systems to communicate and monitor student interaction and progress.

Use access to sensitive information only in performance of responsibilities and prevent unnecessary disclosure.

Prepare accurate reports and documentation as required and requested.

Ensure students have equal access to MCC's curricular and co-curricular activities.

Remain abreast of district, state, and federal regulations.

Track, analyze and report recruitment metrics and candidate data for future planning.

Manage applicant tracking system entries and updates.

Adhere to Admissions Standard Operating Procedures and maintain records of interactions with students.

15% Program and Event Coordination and Implementation

Facilitate and assist in organizing on-campus programs for prospective students. Deliver comprehensive information about available academic programs, including student resources, scholarships, and facilities during these events.

Conduct admissions and recruitment presentations; cater to varied audiences.

Assess the efficacy of recruitment strategies and provide recommendations for program improvements.

Travel to high schools, college fairs, and other events to meet with prospective students.

Organize and attend campus engagement activities.

Organize and participate in open houses, orientation programs, information sessions, etc.

Coordinate and conduct campus tours for prospective students and their families.

Attend recruitment events and present information about the college, including programs, campus life, admissions process, and financial aid opportunities.

Coordinate with other departments and attend registration events in-person or virtually as needed.

5% Other

Serve on various executive boards, college and district committees, and participate in meetings and conferences.

Responsible for other reasonable related duties as assigned commensurate to the grade level of the position.

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.

OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications

A. More than four years' experience in higher education, student recruiting, registration, financial aid, program management, sales, customer service, or student services-related area experience, preferably at the community college level.

B. Demonstrated knowledge of Welcome Center/One-Stop function, admissions guidelines, policies and procedures.

C. Experience with student onboarding process, and new student advisement, in higher education preferably at the community college level.

D. Working knowledge of student development and academic programming, university / college academic and financial policies, academic admissions and records policies and procedures.

E. Knowledge of federal and state regulations for higher education and experience with student information systems, CRM systems and student recruitment software, and social media platforms.

Special Working Conditions

May require working evening and weekend hours. This position is fully on-site, with no remote options. May be required to sit for a prolonged period of time; viewing a computer monitor. May be required to lift or carry up to 20 lbs. May be required to travel or be assigned to another MCC location. Travel to campus during interview/selection process will be at candidate's own expense. MCC does not sponsor individuals for work visas.
