We are seeking a highly organized and detail-oriented Administrative Assistant with experience in bookkeeping to join our team. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our organization. The ideal candidate will have a background as an office manager and possess strong bookkeeping skills, preferably with experience using QuickBooks. A college degree is preferred, and experience in music accounting would be a significant advantage.
Responsibilities
Bookkeeping: Utilize your expertise in bookkeeping to manage financial records, including accounts payable and receivable, invoicing, and expense tracking. Ensure accuracy and compliance with relevant financial regulations.
QuickBooks Management: Proficiently navigate and utilize QuickBooks software to process financial transactions, generate reports, reconcile accounts, and maintain financial data integrity.
Administrative Support: Provide comprehensive administrative support to the team, including managing calendars, scheduling appointments, coordinating meetings, making travel arrangements, and handling correspondence.
Office Management: Utilize your background as an office manager to ensure the smooth day-to-day functioning of the office, including maintaining office supplies, coordinating maintenance and repairs, and overseeing general administrative tasks.
Data Organization: Efficiently organize and maintain electronic and physical files, ensuring easy retrieval and confidentiality of sensitive information.
Communication and Collaboration: Facilitate effective communication within the organization by responding to inquiries, distributing information, and liaising with internal and external stakeholders.
Event Coordination: Assist in the planning and execution of meetings, conferences, and events by coordinating logistics, managing registrations, and providing on-site support as needed.
Project Assistance: Support various projects by conducting research, compiling data, creating reports, and assisting with project management tasks as assigned.
Qualifications
Bookkeeping Experience: Proven experience in bookkeeping, with a strong understanding of financial processes and regulations. Experience with QuickBooks is required.
Office Management Background: Previous experience as an office manager, demonstrating the ability to handle administrative tasks efficiently and independently.
College Degree: A college degree in a relevant field is preferred, although equivalent work experience may be considered.
Music Accounting Experience (Preferred): Familiarity with accounting practices specific to the music industry, such as royalty calculations, performance rights organizations, and artist contracts, would be a significant advantage.
Highly Organized: Exceptional organizational skills with the ability to multitask, prioritize assignments, and meet deadlines in a fast-paced environment.
Attention to Detail: Meticulous attention to detail to ensure accuracy in financial records, administrative tasks, and correspondence.
Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels of the organization.
Computer Proficiency: Advanced proficiency in MS Office Suite, particularly Excel and Word. Experience with other productivity tools and software would be beneficial.
Problem-Solving Abilities: Strong problem-solving skills to address challenges proactively and independently.
