Administrative Assistant I, Outpatient Mental Health Center - Gaithersburg, MD

General Summary Primary responsibilities include:
Receive clinic clients and collect client co-payments.
Receive, respond, and route incoming phone calls and clinic voicemail messages.
Schedule client follow‑up appointments for clients and staff.
Maintain client medical records (EHR) in good order, file charts, and process client and administrative paperwork.
Assist with maintenance of clinic electronic health records and secure system access.
Maintain clinic facilities for optimal and secure functioning.
Provide backup assistance to other administrative staff as warranted.
Log and distribute incoming and outgoing faxes; request, log, and secure client co‑payments.
Print provider schedules and billing sheets; make appointment reminder calls.
Communicate critical information to staff in a timely manner; file all notes and papers in client charts.
Close charts in multiple electronic data systems; log and secure all delivered medications.
Respond to all requests from providers, clients, and other staff in a professional manner.
All other duties as assigned to ensure successful operation of the clinic.
Knowledge, Skills, and Abilities Required
High school diploma required; an associate’s degree in business administration or a related field preferred.
Previous experience in a healthcare setting preferred but not required.
Proficiency with computer systems and data software, including an Electronic Health Record, and the ability to maintain client confidentiality and privacy.
Ability to multi‑task in a high‑volume, fast‑paced healthcare environment.
Excellent interpersonal skills and a sense of humor is a plus.
