Overview

As a Business Assistant, you’ll work in an environment that encourages learning, team cohesion, and patient‑first care, providing support to front‑office operations and partnering with providers to optimize our office potential.
Responsibilities
- Greet and welcome patients, creating a great first impression.
- Manage front‑office duties: answer phones, handle office mail and email, and communicate with patients and insurance companies.
- Use Dentrix for patient scheduling and record management.
- Schedule and confirm appointments for multiple providers.
- File patient insurance claims, follow up on outstanding claims, verify benefits, and explain coverage.
- Process insurance and patient payments and accounts receivables.
- Review treatment‑plan fees and discuss payment options with patients.
- Partner with providers and the team to implement Heartland Dental systems and optimize office performance.

Minimum Qualifications
- Experience in a fast‑paced, customer‑centric environment.
- Excellent communication and organizational skills.
- Access to PHI required for job functions; regular HIPAA training will be provided.
Preferred Experience
- 1+ year in a dental or medical setting.
- 1+ year in insurance billing and accounts receivable.
- Experience with Dentrix or other dental software.
Physical Requirements
- Ability to perform essential duties with or without reasonable accommodation.
- Prolonged periods sitting at a desk and working on a computer.
- Must lift up to 15 pounds at times.
- Availability for virtual or in‑person training sessions periodically.
- New hires in dental office positions must complete a tuberculosis (TB) test before starting employment.
