Summary:
The Executive Assistant provides high-level administrative and operational support to senior leadership, serving as a key point of contact and communication within the organization. This role requires exceptional organizational, communication, and interpersonal skills to manage complex schedules, sensitive information, and cross‑functional coordination efficiently and with the utmost discretion.
Key Responsibilities Calendar & Meeting Management
Proactively manage a highly active calendar of appointments and events for senior leaders.
Prioritize meetings, calls, and commitments while ensuring optimal use of time and resources.
Coordinate closely with the Head of Operations to provide timely updates and prepare all necessary materials for upcoming engagements.
Travel & Expense Coordination
Arrange and manage all aspects of domestic travel, including itineraries, logistics, and accommodations.
Process expense reports accurately and in compliance with company travel and expense policies.
Confidentiality & Professionalism
Handle sensitive and confidential matters with discretion and professionalism.
Demonstrate mature judgment in managing leadership communications and data privacy.
Reporting & Administrative Support
Prepare ad hoc reports, presentations, and correspondence as needed.
Support daily operations to ensure smooth workflow across departments.
Qualifications & Skills Experience & Education
Minimum of 7–10 years of experience as an Executive Administrative Assistant supporting senior leadership in complex organizational settings.
High School Diploma or GED required (Associate’s or Bachelor’s degree preferred).
Exceptional written, verbal, and proofreading skills.
Highly collaborative and resourceful team player with the ability to work independently and handle competing priorities effectively.
Technical & Organizational Proficiency
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Strong multitasking and organizational skills with meticulous attention to detail.
