General Purpose Under general supervision, performs executive‑level administrative support to a College President; serves as point of contact for the President and oversees operations of the Office of the President; interprets and explains policies; manages communications and logistics; develops budgets and tracks finances; schedules complex meetings and events; staffs committees; prepares reports, minutes, and agendas; and performs related duties as assigned.
Essential Duties & Responsibilities
Provides clerical and administrative support; prepares documents for President’s signature; maintains records and reports; drafts Cabinet and Board of Trustee documents; proof‑reads materials; ensures accuracy and compliance with District standards.
Relieves the President of administrative details; keeps President informed of pertinent matters; attends meetings; implements new processes and systems.
Acts as a communications clearinghouse; prioritizes calls; responds to visitors, emails, and inquiries; handles sensitive issues with tact and judgment; researches requests and resolves problems.
Schedules meetings with Cabinet members, College leadership, committees, and external officials; manages multiple calendars; tracks pending matters.
Researches and gathers background materials; drafts recommendations and reports for committees and the Board; forwards best practices and data to President.
Attends committees; prepares agendas, presentations, and packets; takes minutes and records; maintains compliance with the Brown Act.
Organizes and maintains confidential files and records, both electronic and physical.
Monitors multiple budgets; processes payments and travel expense forms; participates in program evaluation, grant administration, and performance reporting.
Reviews Board documents for accuracy; assists with agenda preparation, postings, and minutes; maintains board records.
Provides leadership guidance to staff; sets priorities and monitors workflow; ensures compliance with District, department, and regulatory standards.
Assists with employee performance, fairness, and inclusive workplace.
Coordinates personnel processes (hiring, payroll, grievances); ensures time‑card and payroll accuracy.
Supports cultural competency and equity‑minded practices.
Other Duties
Provides backup for other administrative support staff.
Organizes formal and informal meetings, events, and receptions.
Evaluates and documents workflow, program operations, policies, and procedures.
Orders and replenishes office inventory.
Represents the District on internal and external committees.
Performs related duties as assigned.

Familiarity with California Education Code and related regulations.

Assigns and reviews staff work.
Manages multiple priorities to meet expectations of President, executives, Board, and officials.

Generates clear, comprehensive written materials.
Tracks statistical information using spreadsheets and databases.
Performs mathematical calculations and monitors departmental budgets.
Analyses problems, recommends actions, and follows established policies.
Prioritizes and exercises sound judgment.
Interprets laws, codes, and regulations.
Maintains confidentiality of files and records.
Supports equity and culturally responsive service practices.
Operates computers and standard business software; types accurately.
Represents District in interactions with stakeholders.
Exhibits diplomacy in confidential situations.
Builds effective working relationships with all stakeholders.
Education and Experience Graduation from an accredited community college with an associate degree, and at least five years of progressively responsible administrative support experience, at least two of which were supporting a department head or higher; a bachelor’s degree is highly desirable.
Licenses, Certificates and Other Requirements Certificate of California driver’s license may be required; maintaining insurability under the District vehicle insurance program.
Physical and Mental Demands Regular requirements include sitting, talking, hearing, using hands repetitively, walking, standing, lifting up to 10 lbs (occasionally 25 lbs). Vision requires close focus. Mental demands involve communication skills, data interpretation, problem‑solving, multiple tasks, interruptions, and interaction with District managers and the public.
Working Environment Typical office conditions with quiet noise level. May require travel and overtime.
