Job Summary Works under general supervision to provide secretarial and clerical support for day‑to‑day operations in the department or division office. This role supports our research group in travel and expense, meetings, calendar management, incoming calls/messages, faxes, and ordering supplies.

Required Experience and Education

High School Diploma or GED

2 years of related secretarial/administrative experience (higher education considered in lieu of minimum requirements)

Job Duties

Transcribe dictation using medical or scientific terminology; ensure correct format, grammar, punctuation, and spelling.

Type correspondence, memorandums, grants, manuscripts, book chapters, etc. from complex rough drafts.

Compose letters, memorandums, and other non‑routine correspondence for supervisor's signature.

Process and submit online forms; pay invoices.

Coordinate meetings and conferences for supervisor or other staff members.

Make appointments and maintain supervisor's calendar; book travel and hotel reservations.

Receive, screen, and direct visitors as required; answer and make telephone calls; transfer calls, take messages, or answer questions as necessary, including patient‑related calls and appointments.

Receive, sort, and distribute incoming mail; make copies; fax documents; make deliveries on and off campus.

Complete moderately complex projects and reports requested by supervisor using word processing, spreadsheet, or database applications.

Retrieve articles from library; make copies, including performing online library searches.

Maintain various files and records for operating unit, including vacation/sick leave, personnel files, etc.; handle confidential and sensitive information appropriately.

Perform other duties as assigned.
