Mon‑Thur on‑site, occasionally on Friday’s as needed
The Role The EA plays a dual role supporting both the day‑to‑day execution of brand initiatives and the administrative needs of the SVP of Brand and Chief of Staff. Working closely with the SVP of Brand, Chief of Staff, and the broader brand team, you keep projects, communications, and schedules running smoothly. You may coordinate travel and manage calendars one day, and support campaign prep, product send‑outs, or team events the next.
Responsibilities Executive Support & Coordination
Manage and maintain the SVP of Brand and Chief of Staff’s calendars, meetings, and travel logistics.
Schedule and coordinate internal/external meetings, appointments, and team events.
Prepare agendas, decks, and meeting materials; take notes and track follow‑up actions.
Draft, proofread, and organize documents, reports, and presentations.
Handle correspondence, emails, and communication between executives, internal teams, and external partners with professionalism and discretion.
Process expense reports, vendor communications, and budget tracking.
Plan and book travel arrangements (flights, hotels, transportation) and prepare detailed itineraries.
Anticipate executive needs and proactively manage priorities to ensure efficient time management.
Maintain organized digital files and shared drives for brand and executive projects.
Brand Coordination
Coordinate product send‑outs for PR, brand and retail partners and business contacts.
Support deck development for campaigns and presentations.
Conduct market research for product and campaign launches.
Support needs for photoshoots, events, and brand activations— from logistics to asset organization.
Manage shipping, inventory, and tracking for PR and field marketing materials.
Liaise with cross‑functional teams (Social, Creative, PR, Sales) to ensure campaign alignment and seamless execution.
Culture & Team Support
Help plan brand team meetings, off‑sites, and culture‑building events.
Foster a positive, organized, and collaborative team environment.
Maintain confidentiality and exercise discretion in all interactions.

Proficient in Google Suite, Slack, and project management tools (Asana, Airtable, Notion).

Experience
2–4+ years of experience in executive support, brand coordination, or marketing (ideally in CPG or lifestyle).
Previous experience supporting senior leadership and managing multiple priorities simultaneously.
Bachelor’s degree or equivalent experience.
