Departmental Overview The Departments of German, Spanish, and Portuguese are clustered within the College of Letters & Sciences. The two departments share administrative staffing and currently serve over 30 faculty members, more than 200 undergraduate students (minors & majors), and about 50 graduate students.
Position Summary This role supports two academic departments (German & Spanish and Portuguese) in event management, purchases, reimbursements, and website updates. It also provides clerical, accounting, and administrative support to the manager.

Responsibilities
Primary resource for special events planning, conferences, seminars, and workshops.
Manage bookings (hotels, flights, food, etc.), room reservations, honorariums, and flyer creation (when applicable).
Ensure smooth‑running events, promptly recognizing and resolving problems.
Process reimbursement requests, follow up with faculty for required documents, provide guidance, and submit requests on their behalf when needed.
Main contact for all purchases and process bank reconciliation.
Maintain online presence: update two departmental websites with events, news, bios; post content on social media; submit newsletters; update news bi‑weekly.
Provide accounting transactional support to the manager.
Support the manager with daily tasks (mail sorting, calendar coordination, IT support, office key management), maintain faculty & student support (copiers, printers, light IT troubleshooting), serve as backup facility contact, recommend improvements to daily operations, and manage facility projects.
Required Qualifications
Thorough knowledge of administrative procedures and processes, including word processing, spreadsheets, and database applications.
Strong verbal and written communication, active listening, critical thinking, multi‑tasking, and time‑management skills.
Interpersonal and leadership skills to guide non‑exempt personnel.
High‑school diploma or equivalent.
Salary & Benefits For information on the comprehensive benefits package offered by the University, please visit the University of California’s Compensation & Benefits website. The budgeted hourly range is $30.58 to $33.50. This is a non‑exempt, biweekly‑paid position.
