Summary The
Events Specialist
works with members of the Junior Achievement of South Florida team to create, produce, and manage approximately 10 events each year that support JA's educational programs. This person is a critical member of the JA team and works closely with staff from all departments, as well as volunteers, to achieve the goals of each event. The Events Specialist reports to the Development & Events Director and shares in the direct oversight of all details for each event. In addition to assisting with fundraising and facility rental events, this position also leads the Events team's coordination efforts of JA's program-related events. The role requires a flexible schedule as many events may require early mornings, evenings, or weekends.
What You Will Do
Assist in executing the vision of the Development & Events Director and JA clients/supporters.
Support the execution of event project workplans, managing all details such as marketing, guest activities, décor, entertainment, food and beverage.
Lead logistical and external vendor coordination for program events.
Create event sponsorships and budgets.
Manage guest lists, seating charts, and name tags.
Track financial records for revenue and expenses, including sponsorships, ticket sales, auctions, cash, and in‑kind donations.
Maintain event budgets and perform monthly reconciliations.
Manage JA staff and volunteer teams for events.
Collect and upload auction items in BidPal.
Document all event contacts in BCRM.
Work with Senior Marketing Manager to promote events and ensure sponsors receive recognition.
Oversee vendor contracts and compliance with JA World building regulations and safety guidelines.
Communicate with facility clients, collecting required documents and troubleshooting during events.
Participate in post‑event debrief meetings to document suggestions and improve future events.
Perform other special event and rental facility event duties as assigned.
Facility Rentals
Assist Events Manager in communicating with clients, collecting required documents, and troubleshooting during events.
Ensure correct insurance and key documents are properly managed for each event.
Perform other special event and rental facility event duties as assigned.
What You Will Need
3–5 years of event management experience, preferably in the nonprofit sector.
Bachelor's degree in a related field or equivalent professional experience.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); SharePoint and Teams a plus.
Experience with Adobe, Blackbaud (Raiser's Edge, BCRM), QGiv, and/or BidPal Software a plus.
Exceptional customer service and proactive leadership skills.
Strong project management abilities.
Excellent oral and written communication skills.
High organizational skill and ability to manage multiple projects in a dynamic environment.
Strong ethical standards, trustworthiness, and discretion with confidential information.
Initiative, attention to detail, and resourcefulness.
