Sponsored Programs Coordinator – P10248
in Contracts and Grants. We’re looking for someone who shares our commitment to fostering a vibrant campus community.
What You’ll Do The Sponsored Programs Coordinator is responsible for monitoring and maintaining grant and contract accounts received from federal, state, and private (miscellaneous) funding sources. The incumbent ensures compliance with generally accepted accounting principles, federal regulations, award terms and conditions, and college policy and procedure. Responsibilities include training faculty and staff, reviewing program reports, approving purchases on contract and grant accounts, and preparing financial reports and invoices to granting agencies.
Day‑to‑day Responsibilities
Prepare and submit sponsor invoicing activities, compile and analyze expenditure data, and gather supporting documentation for invoicing of all grants and contracts, including tracking, documenting, and reporting match and program income.
Monitor internal and external grant and contract accounts by reviewing daily and monthly activities and making accounting corrections or adjustments as necessary.
Communicate regularly with departments and Project Directors to provide fiscal management, notify of no‑cost extensions and budget revisions, and prevent lapsed funds or disallowed costs.
Maintain current knowledge of federal and state regulations related to grants and contracts, and communicate regulatory information to appropriate stakeholders.
Serve as liaison between college departments and federal, state, and private agencies, coordinating administrative processes and resolving related grant issues.
Perform grant closeout functions, including reconciliations, liquidations, budget finalization, and final reporting and analysis; assist during audits by preparing work papers.
Conduct desktop and on‑site monitoring of grants to ensure ongoing compliance and recommend improvements.
Who We’re Looking For
High school diploma and seven (7) years of professional experience in bookkeeping, accounting, grant management or a related field (or equivalent combination of education and experience).
Bachelor’s degree in accounting, finance, administration or a related field is preferred (may substitute for four (4) years of the required experience).
