Position Overview The Accounts Payable Associate plays a crucial role in the financial operations of our organization by ensuring that all vendor invoices are processed, approved, and paid in an accurate and timely manner. This position requires a keen attention to detail, strong organizational skills, and a commitment to maintaining financial integrity.
Essential Functions Invoice Processing
Receive and review vendor invoices for accuracy and completeness.
Match invoices with purchase orders and delivery receipts.
Enter invoices into the accounting system and obtain necessary approvals.
Payment Processing
Prepare and process weekly payment batches including checks, ACH transfers, and wire transfers.
Reconcile payments to invoices and maintain payment records.
Assist in resolving payment discrepancies and issues.
Process and verify employee expense reports for accuracy.
Ensure compliance with company expense policies.
Vendor Relations
Communicate with vendors to address inquiries and resolve discrepancies.
Maintain good working relationships with suppliers.
Record Maintenance
Maintain accurate and organized records of all vendor files and accounts payable transactions.
Assist in month-end and year-end closing processes.
Team Collaboration
Collaborate with other finance team members and cross-functional departments to ensure smooth operations.
Other duties as assigned.
Skills and Qualifications Education and Experience:
A Bachelor's degree in Accounting or Business is preferred.
Two years of related experience and/or training is required in lieu of education requirements.
Required Skills:
Proficiency in Microsoft Office required.
Experience with Blackbaud's Financial Edge and/or other common accounting and software packages is strongly preferred.
Strong work ethic, dependability, and strong communication skills.
Must have excellent interpersonal skills, telephone manners, organization skills, and the ability to work independently in dealing with the diverse elements of the academic environment.
This position requires absolute confidentiality and professionalism.
