Administrative Assistant
Duration: 6 Months (Potential extension/FTE)
Pay: $20 - $23 per hour
Position Summary
The Administrative Assistant provides high‑quality administrative support to managers and department leaders, ensuring efficient operations and seamless communication. This role involves handling correspondence, managing office processes, preparing documents, maintaining records, and supporting departmental projects. The ideal candidate demonstrates professionalism, attention to detail, and strong organizational and communication skills.
Key Responsibilities
Administrative & Clerical Support
- Perform general administrative duties including answering calls, processing mail, scanning, filing, and preparing client documents.
- Draft, edit, and format letters, reports, memos, project materials, and emails while maintaining confidentiality.
- Manage calendars, schedule meetings, reserve conference rooms, and coordinate travel or event arrangements.
- Maintain office supply inventory, ensure equipment functionality, and assist with onboarding new staff or workstation setup.
Project & Data Management
- Support project teams by maintaining data, managing meeting minutes, scheduling, and updating project plans under supervision.
- Gather, organize, and analyze information to compile reports or summaries for management review.
- Assist with the development and documentation of procedures to ensure efficient office operations.
Customer & Internal Communication
- Communicate professionally with employees, clients, and other departments in alignment with company values.
- Receive and direct phone calls and inquiries to appropriate contacts in a courteous and timely manner.
- Provide timely responses and basic guidance to clients or colleagues on routine matters.
Technology & Systems Proficiency
- Utilize Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other business software effectively.
- Operate office equipment such as scanners, photocopiers, and video conferencing systems.
Qualifications
- High School Diploma required
- Up to 2 years of experience in a banking or administrative office environment
- Strong written and verbal communication skills
- Excellent organization and time management abilities
- Attention to detail and ability to handle confidential information
- Proficiency in Microsoft Office and general office technology
- Professional demeanor and commitment to teamwork
