Administrative Assistant

Performs a variety of administrative and clerical tasks, financial and human resources administration and provides professional support to one or more Managers and their direct reports. The role provides general office services ensuring all administrative and operational processes and control standards are followed.

Responsibilities

  • Supports strategic initiatives including tracking metrics and milestones.
  • Builds effective relationships with internal and external stakeholders.
  • Analyzes data and information to provide insights and recommendations.
  • Plans, coordinates and implements department events.
  • Provides specialized support to executives and senior managers.
  • Coordinates and monitors budgets and reporting on results vs. budget.
  • Coaches junior administrative assistants to develop capabilities.
  • Manages calendars and upcoming events, dispatches meeting invitations, books rooms.
  • Develops and maintains filing system and documentation.
  • Creates tailored messaging and communications.
  • Handles outgoing communications, phone inquiries and escalations.
  • Processes invoices for payment following documented processes.
  • Prepares and logs departmental expense claims; tracks expenses.
  • Makes travel arrangements and booking reservations.
  • Coordinates premises and building related matters, staff moves and furniture.
  • Maintains supplies inventory and places orders.
  • Manages vacation and absence scheduling.
  • Coordinates training requirements.
  • Collaborates to deliver business objectives.
  • Organizes work information accurately.
  • Completes complex tasks within rules; handles escalations.
  • Analyzes issues and determines next steps.
  • Broader work or accountabilities may be assigned as needed.

Qualifications

  • 3-5 years of administrative/professional support experience.
  • Post‑secondary degree in related field desirable.
  • Specialized knowledge.
  • Good verbal and written communication skills.
  • Good organization skills.
  • Good collaboration and team skills.
  • Good analytical and problem‑solving skills.

Salary

$41,714.00 - $65,000.00
