Program Assistant, Dartmouth-American University of Kuwait Program

Location: Hanover, NH. Hybrid work schedule during the academic year; on‑site required in Hanover from June to August for the inbound AUK summer exchange period.

Term: 12‑month term, non‑exempt, 20 hours per week, qualified for the grant‑funded D‑AUK program.

Position Purpose

The Program Assistant performs administrative, programmatic, and operational functions to ensure the efficient functioning of the Dartmouth‑American University of Kuwait (D‑AUK) Program. This position supports student and faculty exchanges, financial transactions, communications, and general office operations.

Key Responsibilities

  • Communications and Outreach
    • Prepares flyers, schedules events, and coordinates announcements for student events such as the Annual Study Away Fair, Annual Internship Fair, and Student Information Sessions.
    • Updates the D‑AUK program website.
    • Sets up/activates the internship application in Via TRM.
    • Maintains organized records and files.
  • Outbound Student Application and Selection Support
    • Assists with outbound student application, selection, and notification for undergraduate internships and exchange programs.
    • Compiles and distributes application materials to selection committees (using Terra Dotta and Via TRM).
    • Schedules applicant interviews and manages Zoom meetings.
    • Processes stipends for outbound students.
  • Planning & Execution of Inbound Summer Programming
    • Provides administrative and logistical support for AUK summer interns, exchange students, and Faculty Fellows.
    • Coordinates J‑1 visa processing, lodging, dining, billing, and financial requests with OVIS, the Dartmouth Real Estate Office, the student billing office, the Guarini Institute, and Finance Center.
    • Assists with planning, logistics, and execution of summer excursions and activities.
  • Financial Administration and General Office Operations
    • Processes financial transactions and orders office supplies.
    • Oversees operation and maintenance of office equipment.
    • Coordinates ITC and facility service requests.
    • Assists with annual budgeting and financial reporting.
  • Demonstrates a commitment to diversity, inclusion, and cultural awareness through interactions and communications.
  • Performs other duties as assigned.

Required Qualifications

  • Associate’s degree or higher and 3+ years of relevant experience, or an equivalent combination of education and experience.
  • General office, administrative, or financial experience.
  • Demonstrated ability to manage logistical and administrative details for multiple tasks and projects.
  • Strong organizational skills and ability to plan, prioritize, and meet deadlines in a fast‑paced environment.
  • Good judgment, initiative, and problem‑solving skills.
  • Ability to work independently and collaboratively.
  • Proven ability to maintain confidentiality.
  • Excellent verbal, written, and interpersonal communication skills.
  • Computer literacy, including proficiency in Microsoft Office, Google Workspace, and web‑based applications.
  • Customer service orientation with diverse constituencies.
  • Commitment to diversity, equity, and inclusion.

Preferred Qualifications

  • Familiarity with Dartmouth College systems, processes, and operational procedures.
