Marketing and Proposal Coordinator
role in Geosyntec. Location options: Gainesville, Tampa, Orlando, Jacksonville, Tallahassee, Clearwater, St. Augustine, or Titusville, FL, or other Florida offices. A hybrid work schedule is available at the discretion of the Company. The role supports environmental practitioners with developing compliant, comprehensive, and compelling submittals (proposals and opportunity-specific statements of qualifications, SOQs). The position involves Go/No-Go participation, managing, scheduling, editing, and producing submittals and related sales-support materials; evaluating selection criteria; and developing response strategies. Coordinate with marketing teams and practitioners to develop new marketing material or updates to existing material. Create first drafts/templates of news announcements for internal and external posting; circulate for comment. Coordinate with practitioners to maintain master resumes, project descriptions, and imagery. Maintain content libraries (prior proposals, boilerplates, visuals). Assist with online presence content (social media, website, emails). Track and distribute events planning information; maintain a key meeting calendar. Maintain corporate memberships in client organizations. Prepare proposal/SOQ pursuit memos and guides for delivering the material. Assist with preparation/assembly of written and visual information for client presentations. Maintain scheduling and tracking systems for pursuit and proposal elements. Help produce SOQs/proposals, including editing, graphics, formatting, and preparation for digital/print reproduction. Handle production and ensure on-time delivery of SOQs/proposals. Gather content from team and consultants; maintain content libraries and templates. Organize and develop task lists from pre-submittal meetings and notes. Monitor industry-related market information; share potential leads with proposal and marketing teams. Review and curate select market information sources. Gather research data related to clients, competitors, markets, and corporate experience. Maintain systems to extract and retrieve information related to clients, consultants, personnel, projects, prior proposals, boilerplates, visuals, and mailing lists. Lead creation of MS Teams sites for proposal teams; load key information and add team members. Develop proposal and cover letter templates. Assist with graphics concepts, writing/content, and proofreading; edit marketing content as needed. Coordinate development and submittal of project award entries. Participate in data gathering for strategic plans, reports, and meetings; RFQ/RFP review and strategy sessions to inform go/no-go decisions. Assist in special corporate events planning (e.g., practice group conferences, receptions, open houses). Engage with marketing associations (e.g., SMPS, APMP) for professional development. Perform special projects and related work as required. Drive personal, company, and rental vehicles to client or project sites as needed. Education and Licensure
Bachelor’s degree from an accredited college with a major in an applicable discipline and at least 2 years of professional experience (preferred); or an equivalent combination of education, experience, and training that provides the knowledge, skills, and abilities to perform the responsibilities (required). Demonstrated writing skills with ability to think critically and analytically about document purpose and improvements (required). Formatting, writing, editing, and proofreading skills with strong attention to detail (required). Windows proficiency including MS Word, Excel, PowerPoint, Adobe Acrobat; typing ability (required). Familiarity with Illustrator and some graphic design experience (preferred). Ability to understand and follow complex oral and written instructions (required). Ability to multitask, prioritize, and manage workflow (required). Ability to work collaboratively and independently to meet tight deadlines (required). Valid U.S. driver’s license and satisfactory driving record for business travel (required). Candidates must currently hold and maintain valid U.S. work authorization; new H-1B visa lottery and employment-based green card sponsorship are not available for this position.
