Onsite position in Chicago, reporting into the Corporate Services team. 5 days a week in the office. Limited supervision. Coordinate mailroom tasks including sorting, processing, and delivery ensuring seamless operations and client satisfaction. Responsibilities Process and deliver all incoming and outgoing mail promptly, safely and according to operating procedures and deadlines. Perform all other mailroom functions (e.g., post office pick?up and drop?off, sorting, filing, processing and packaging mailings and registered letters) with confidentiality and discretion. Calculate proper postage for outgoing mail per U.S. postal regulations and charge to client units by entering the proper charge?back codes into postage meter machines. Operate and perform routine maintenance and troubleshooting on all mailroom equipment (e.g., postage meter machine, string typing machine, envelope opener). Serve as the internal equipment liaison and promptly resolve technical issues. Maintain quality controls to ensure work accuracy, meticulous mail log records, inventory, track unit SOPs and KPIs, and provide detailed end?of?month reports. Uphold safety standards and adhere to protocols while handling equipment and materials, ensuring a secure work environment. Deliver exceptional customer service by addressing inquiries and managing other requests, support manager by assisting with training and work assignment coordination, serve as backup for the Manager Mail Services, collaborate with team members to ensure smooth customer service and support various departmental mailing jobs, and perform light maintenance and mailroom reception duties.
Requirements
High School diploma or equivalent education required. 3+ years of mailroom experience required. Demonstrated experience delegating tasks. Proficiency in basic computer skills, including MS Office Suite. Basic knowledge of electronics and copier equipment. Strong communication skills and ability to thrive in a fast?paced, customer?centric environment. Strong organizational clerical skills, with sharp attention to detail, promptness and reliability key. Ability to maintain confidentiality of information. Valid drivers license. Manual dexterity and ability to lift 70 pounds and push carts weighing 100 plus pounds.
