Overview

We are seeking a highly organized and proactive Executive Assistant to support our CEO, COO anex executive team ensuring the smooth coordination of executive workflows, schedules, communications, and project follow-ups, contributing directly to Pointsville’s overall efficiency and leadership effectiveness. 


What You’ll Do


  • Manage the CEO, COO and executive team calendars, ensuring meetings are efficiently scheduled, prepared, and followed up.
  • Assist with Event Logistics, travel coordination, itinerary planning, and voucher processing.
  • Organize and prioritize the high volume of work and requests flowing through senior leadership
  • Respond to and coordinate meeting, event, and booking requests across time zones.
  • Draft, edit, and proofread correspondence, reports, and internal communications.
  • Handle incoming and outgoing communications, including email triage and follow-ups.
  • Maintain records, documents, and internal databases accurately and securely.
  • Liaise with internal teams and external partners to facilitate alignment and timely communication.
  • Prepare meeting materials, take detailed notes, and track completion of action items.


Qualifications & Experience

  • Bachelor’s degree or equivalent professional experience.
  • Minimum of 1 year in an administrative, executive assistant, or similar support role.
  • Demonstrated ability to manage calendars, meetings, and communications in a fast-paced environment.
  • Experience working remotely or supporting executives across multiple time zones is a plus.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Meet) and virtual communication tools.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Fully remote; operates within the Eastern Time Zone.
  • Requires occasional flexibility to support meetings or deadlines across global teams.
