Position Summary The Fleet Administrator is responsible for day‑to‑day administrative aspects of EG America’s vehicle fleet. This role ensures that all fleet vehicles are compliant with local, state, and federal regulations by managing vehicle registrations, renewals, and permits. The Fleet Administrator also oversees the issuance of fuel cards and tolling devices, monitors fuel usage, and ensures timely and accurate processing of fleet‑related invoices. This role ensures efficient and cost‑effective administration of all fleet assets through proactive collaboration with internal stakeholders, external Fleet Management Companies (FMCs), and service providers.
The ideal candidate will have strong organizational skills, attention to detail, analytical, and proactive, with a strong focus on operational excellence, compliance, and customer service.
Responsibilities
Serve as the primary liaison with the company’s dedicated Fleet Management Company (FMC), ensuring timely and effective communication.
Maintain proficiency in fleet management platforms, software systems, and other technologies used by the company or FMC.
Ensure regulatory compliance for all fleet operations, including registrations, permits, insurance, and documentation.
Review and process monthly personal/business mileage submissions in accordance with internal and legal standards; resolve discrepancies with FMCs and drivers.
Maintain up‑to‑date fleet inventory records, including spare and inactive vehicles.
Collaborate with department managers to assign vehicles based on internal eligibility criteria and company policy.
Manage corporate pool vehicles, ensuring readiness, cleanliness, and availability.
Participate in new driver onboarding, providing fleet‑related training and documentation.
Process and track fleet‑related invoices through Stampli or equivalent platforms, ensuring accuracy and timely payment.
Provide regular fuel usage and equipment inventory reports to the Finance and Tax departments.
Administer all overweight and Hazmat permits for the heavy‑duty fleet in accordance with applicable laws.
Oversee SmartPay, Wright Express (WEX), and Fuel Master fuel programs, including billing for multiple departments.
Oversee turnpike and bridge payment accounts to ensure compliance across all operational states.
Perform other fleet‑related duties as assigned by the Sr. Manager of Fleet Operations and VP of Transportation
Working Relationships Collaborates regularly with the Transportation team, department managers, drivers, Risk Management, and Finance. Interacts with external partners including FMC representatives, dealerships, and service vendors
Minimum Education High School Diploma or GED equivalent
Preferred Education Associate degree or equivalent combination of education and related work experience
Minimum Experience 1‑2 years related experience
Preferred Experience 3‑5 years related experience
Licenses / Certifications Soft Skills / Competencies
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Customer service orientation with problem‑solving mindset.
Ability to interpret data and create analytical reports
Other Requirements Travel No travel required
Hours & Conditions Five‑day work week. Hours 8:30am to 5:00 pm in office setting, 4 days in Westborough, 1 day remote work – subject to change
Physical Requirements Minimal physical effort required, sitting / standing at computer for long periods of time. Ability to maneuver and lift up to 10 lbs.
