Position Summary Administrative assistant for CALSWEC grant and DCFS stipend programs. Manages documentation regarding grants to support student and faculty compliance, maintenance of grant expectations, and reports to funding sources. Provides backup for the Administrative Coordinator regarding department needs. Maintains contact and ensures timely documentation in collaboration with Toro Auxiliary Partners staff.

This is a full-time, benefited, onsite position with an hourly rate of $25.50.

Essential Duties and Responsibilities

Provide students with contract information and documentation

Set up payments for stipend students and collaborate with TAP staff

Ensure student information is entered in the system for quarterly reports

Add field placement information for first-year students

Update field placements for second-year students

Maintain contact with Department Chair and DH Financial Analyst

Complete documentation, arrange travel and hotel accommodations, and ensure reimbursement for California Title IV-E, DCFS, and PI faculty and students

Prepare and disseminate quarterly reports

Support preparation for the California Title IV-E student job fair

Manage student stipend repayments for current and graduated students

Minimum Qualifications and Experience

High School Diploma or GED

Associate's degree to Bachelor's degree preferred

Experience in an Office Environment equivalent to 2 years

General working knowledge of applicable university infrastructure, policies, and procedures

Ability to use standard office equipment

Ability to use standard word processing and related computer software packages

Ability to respond to routine inquiries and explain standard policies and procedures to others

Ability to identify deviations from applicable policies

Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough, and, at times, creative solutions

Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data

Work often involves front-line contacts with a variety of campus and community individuals requiring active problem-solving and effective interpersonal skills

Demonstrated competence in effectively presenting standard information in writing

Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions
