A successful, rapidly growing construction and real estate firm that has been in business for 4 years in looking for an Executive Assistant to the Founder / President. The company’s focus is on large commercial and residential projects. The current EA is being promoted internally and will assist with the transition. The current office is in the west 20s and in July there will be a new office in the west 30s. The Executive Assistant will have their own office at the new location. The firm has 90 employees. Travel requested one night every six weeks to the Florida office for executive meetings. The role is hybrid-4 days in office, 1 day remote.
About the Job
Vet and prioritize the CEO’s emails and draft responses
Coordinate and track key initiatives-follow up with department heads
Be the vital communication bridge across departments, board members, and with external partners
Prepare materials for meetings and attend meetings with the President
Handle confidential and sensitive information with discretion
Prepare presentations, reports, and briefing materials for executive and board meetings
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Manage the CEO’s calendar, priorities, and scheduling across multiple time zones
Schedule and prepare for meetings by organizing agendas, taking minutes, and following up on action items
Planning and executing internal and external meetings and events
Oversee administrative tasks including expense reports, correspondence, and document organization
Minimum help in the personal arena – bill paying, personal appointments
Limited off-hour availability
About You
Minimum of 7 years of experience in a related support position
BA / BS from a college or university
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook) and collaboration tools (Teams, Zoom, Slack)
Able to represent the CEO and company with credibility, maturity, and executive presence
Dynamic and proactive comfortable in a fast-paced environment.
Polished, professional demeanor
Proactive go-getter; no task is too big or too small
Outstanding communication skills (written and verbal)
