Executive Assistant Provides executive level administrative support to the Chief Executive Officer and The Board of Directors. Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail; Ability to uphold a strict level of confidentiality; Ability to work as part of a team and maintain effective relationships with others; High degree of professionalism, business judgment, and tact; Solid communication and basic mathematical skills; Must possess, or be willing to obtain, and maintain certification as a Notary Public; Proficient in Microsoft Office, solid typing skills and knowledge of basic recordkeeping and report preparation.

Graduation from high school or GED and five or more years of administrative experience, preferably at the executive level. College degree and nonprofit experience preferred.

Requires the ability to exert some physical effort, such as walking, standing and light lifting; minimal dexterity in the use of fingers, limbs and body in the operation of the office equipment; may require extended periods of time at a computer keyboard. Job Responsibilities / Duties

Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments, completing expense reports, preparing correspondence that is often confidential in nature, arranging complex and detailed travel plans and agendas, and compiling various materials.

Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Agency and CEO.

Serves as a liaison to the Board of Directors and communicates directly with members and others on matters related to the CEOs programmatic initiatives.

Researches, prioritizes and follows up on incoming issues and concerns addressed to the CEO; determines appropriate course of action, referral, or response.

Provides a bridge for smooth communication between the CEOs office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.

Assists managers in the preparation of proposals, grant applications, contracts, and presentations.

Participates as an adjunct member of the Senior Management Team including assisting in scheduling, setting up and attending meetings.

Handles property management issues to include completing tax exemption filings for CSA-owned properties and any bookkeeping or related documentation.

Researches, collects and analyzes data to prepare reports and documents.

Provides administrative support to the Board of Directors, including distributing information as requested, planning meetings, taking and transcribing minutes of meetings, maintaining ongoing communication, and preparing and distributing Board meeting materials.

Assists CEO with the Organization Standards.

Communicates and collaborates with clients and program managers; assists Agency personnel with the management of programs or projects as assigned.

Responds to requests for information or services and directs customers to the appropriate staff.

Performs other clerical work, including but not limited to copying and filing documents, receiving and distributing mail, assembling materials, etc.

Oversees the flow of the receptionist area and handles relief switchboard duties as necessary.

Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders and verifying receipt of supplies.
