The Administrative Assistant provides administrative support to the Executive Leadership Team while ensuring smooth day‑to‑day office operations. This position requires a highly organized, detail‑oriented professional who demonstrates strong follow‑up and follow‑through, excellent written and email communication skills, and proficiency in Microsoft Excel and Office applications. The ideal candidate is proactive, dependable, and maintains a can‑do attitude—even when handling repetitive or routine administrative tasks.
About the Role
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients in a professional manner.
- Responds to, resolves, and appropriately directs administrative inquiries and requests.
- Coordinates and schedules travel, meetings, and appointments for executives, managers, and staff.
- Provides support for executive meetings, events, and conferences.
- Purchases and maintains appropriate levels of office supplies and coordinates maintenance of office equipment at all locations.
- Conducts regular inventory audits to ensure accurate tracking of supplies and materials across departments.
- Keeps the company fully stocked with necessary supplies, proactively ordering replenishments as needed.
- Manages company swag, including ordering, organizing, counting, and distributing branded items for events and internal needs.
- Manages vendor relationships to ensure efficient ordering, delivery, and service quality.
- Sorts and delivers mail, processes and delivers packages, and manages other mailing and shipping duties.
- Performs light facility management duties as necessary and assigned.
- Ensures timely and accurate completion of projects, demonstrating strong follow‑up and accountability.
- Handles confidential and sensitive information with discretion and integrity.
- Performs other related duties as assigned.
Qualifications
- Bachelor’s degree or 4+ years of equivalent experience in an administrative role.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams); strong Excel and email communication skills required.
- Familiarity with office technology and software (copier, printer, scanner, etc.).
- Regular attendance, reliability, and punctuality are essential.
Required Skills & Attributes
- Proven experience as an Administrative Assistant or similar role supporting senior executives.
- Able to lift and/or push up to 40 lbs.
- Excellent organizational, time‑management, and multitasking abilities with attention to detail.
- Strong written and verbal communication skills; professional and clear in email correspondence.
- Demonstrated ability to follow up and follow through on tasks and projects.
- Positive, can‑do attitude with the ability to handle repetitive or mundane tasks efficiently and accurately.
- Flexible, resourceful, and proactive in solving problems and supporting team needs.
- High level of discretion and confidentiality in managing sensitive information.
- Work independently as well as with a team.
Full compensation packages are based on candidate experience and relevant certifications.
Compensation Range: $25 USD - $27 USD
