The Opportunity We’re seeking a

Family Office Accounting Coordinator

who is eager to learn, a natural organizer, and thrives in an environment where no two days are the same. The person in this role plays a key part in designing and managing the accounting, bill‑pay, financial and tax record‑keeping systems that support our clients’ multi‑entity structures, trusts, and personal finances.

You’ll be the bridge between our clients, their tax advisors, and our advisory team, helping ensure everything runs smoothly behind the scenes. If you enjoy making things work seamlessly and have an eye for both detail and process improvement, you’ll fit right in.

Key Responsibilities Client Accounting & Bill Pay Setup

Establish and maintain accounting systems and workflows for families, trusts, and related entities.

Implement and oversee bill‑pay platforms with proper controls and audit trails.

Set up vendors, automate payments, and monitor cash flow to ensure timely disbursements.

Develop and document standardized procedures for bill‑pay and expense tracking.

Maintain general ledgers for client entities, trusts, and personal accounts.

Reconcile bank and investment accounts monthly and prepare consolidated summaries.

Consolidate real‑estate property management income and expense reporting.

Coordinate with outside accountants for tax returns, audits, and year‑end reporting.

Generate customized reports using tools like Excel, QuickBooks, or Addepar.

Trust & Entity Administration

Support trustee and entity‑level record‑keeping, including distributions and expense allocations.

Work with attorneys and CPAs to keep documentation, filings, and ownership records current.

Process Management & Technology Integration

Identify opportunities to streamline and automate workflows across accounting and administrative functions.

Partner with operations to integrate systems like Addepar, Orion, or Salesforce for unified reporting.

Document and maintain clear processes for consistency and continuity.

Serve as a responsive point of contact for client accounting and reporting questions.

Liaise with custodians, bankers, and professional advisors to resolve operational matters.

Maintain the highest standards of confidentiality, accuracy, and professionalism.

Qualifications

Bachelor’s degree in Accounting, Finance, or Business Administration.

3–5+ years of experience in accounting, bookkeeping, or family office operations.

Hands‑on experience managing bill‑pay and accounting systems for multiple entities.

Proficiency in accounting software, Excel, and related reporting tools.

Familiarity with trusts, partnerships, and family entities.

Exposure to Addepar, Orion, or Salesforce a plus.

Strong attention to detail, organization, and communication.

A proactive, curious mindset with a drive to learn and improve processes.
