Executive Assistant to CEO and COO at High-growth YC Fintech Startup

Series A AI fintech startup is looking for an Executive Assistant to support the CEO and COO. This is an incredible opportunity to join a high-growth YC startup backed by top-tier investors and industry leaders. In this role, you’ll support a visionary CEO with a demanding calendar and travel schedule. You’ll own meeting coordination and prioritization, inbox management, travel logistics, and provide holistic support, including meal coordination, trip preparation, and personal logistics optimization. You’ll also provide light support to the COO through calendar coordination and handle special projects, including pitch deck preparation, management team briefing support, and KPI reporting. Someone who is exceptionally organized with a systematic approach and thrives in a fast-paced environment. Previous experience supporting C‑Suite/CEOs at an early‑stage startup is preferred. This is a primarily in‑office role based in San Francisco with some flexibility. Must be responsive and available after hours when needed. 150‑170K+ DOE + equity, benefits, 401k, and flexible PTO.
Responsibilities
Provide support to the CEO and light support to the COO.
Proactively own and organize calendars, scheduling meetings, prioritization, and ensuring Executives are on time.
Prepare the CEO for meetings by managing schedules weeks or months in advance, coordinating logistics, and handling rescheduling or follow‑up communications when needed.
Manage email communications for the CEO, draft correspondence, and flag key messages for timely responses.
Prepare meeting materials such as briefings, bios, notes, and post‑meeting follow‑ups to ensure actions are completed.
Coordinate and book travel arrangements for the CEO, including accommodations, transportation, and itinerary management.
Act as an extension of the CEO to keep a pulse on the team, keep updated on projects, and filter communications when needed.
Support special projects, including presentation deck creation, KPI tracking, performance review coordination, and other business management initiatives.
Provide holistic support to the CEO, including meal coordination, trip preparation, and personal logistics to optimize time. Assist with personal administrative tasks such as appointments, reservations, applications, etc.
Qualifications
3+ years of previous experience as an Executive Assistant at a fast‑paced, early‑stage startup.
Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities without letting tasks slip through the cracks.
Experienced in implementing structured systems and processes that improve executive efficiency.
Excellent communication and interpersonal skills. Able to interact professionally with stakeholders at all levels, including senior executives and external partners.
High EQ. Strong interpersonal skills.
Adaptable and flexible to pivot as needs change.
Solution‑oriented mindset. Creative problem solver who takes initiative.
Reliable responsiveness, including occasional availability after standard business hours when necessary.
Proficiency in productivity and collaboration tools such as Google Workspace, Slack, Notion, Teams, CRM platforms, and project management systems.
