Overview:

Are you passionate about event planning, client experience, and operational excellence in the dynamic world of destination management? We are seeking an enthusiastic and detail-oriented professional to join our team as an Event Sales & Operations Coordinator. This role offers a unique opportunity to gain practical experience in both sales and operations within RMC, providing a pathway for career progression in the destination management industry.

Key Responsibilities Sales and Operations Support:

General Office Duties:

Assist both Sales and Operations teams with day-to-day tasks, including ordering supplies, managing maintenance requests, and scheduling.

Event Assistance:

Support events by assisting on-site as needed, ensuring smooth execution and client satisfaction.

Mail and Errands:

Handle mail distribution and perform office-related errands as directed.

Site Tours:

Assist Sales and Operations Managers with site tours and preparation, ensuring all details are managed effectively.

Billing Support:

Aid Operations Managers with final billing processes and gathering final invoices from vendors.

Check Requests:

Manage check requests and billing for programs as directed.

Coordination:

Work closely with Sales and Operations Managers during turnover, assisting with program elements that need contracts, re-confirming holds, and managing guarantees.

Relationship Management:

Foster strong relationships with clients and vendors, ensuring satisfaction and successful collaborations.

Communication:

Assist in developing and maintaining effective communication with all stakeholders, providing support where needed.

Essential Qualifications Education & Experience:

Bachelor’s degree from an accredited college or university in General Studies, Management, Hospitality, or a related field. Equivalent combinations of education and experience will be considered.

A minimum of one to three years of hospitality or general administration experience. Previous experience in the DMC industry is preferred.

Qualifications:

Strong analytical, organizational, and problem-solving skills.

Detail-oriented with excellent time management abilities.

Effective oral and written communication skills.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and various web-based applications.

Ability to type 40-60 words per minute.

Valid driver’s license and reliable transportation.

Initiative and Problem-Solving:

Ability to proactively address and resolve issues.

Communication:

Clear and professional communicator, adept at negotiation and relationship management.

Technical Proficiency:

Advanced computer skills, including the use of smartphones and cloud-based systems.

Creativity and Innovation:

Ability to think creatively and suggest improvements to streamline processes.

Physical Requirements:

Ability to perform physical activities such as climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, and lifting up to 25 pounds unaided.

Ability to stoop, bend, and climb stairs and ladders as required.

Capacity to view a computer screen for extended periods, sit and stand for extended periods of time.

Effective verbal and written communication and active listening skills.
