Role Overview
Senior Retirement Plan Specialist – Recology, Sparks, NV. Under close supervision, this role supports multiple retirement plans, functions as an HR systems administrator, coordinates with external service providers, ensures plan compliance, and delivers superior customer service to employees across multiple operating companies. Works directly with Recology’s Employee Stock Ownership Plan (ESOP) and supports our unique employee ownership culture. Essential Responsibilities
Administers defined benefit pension, 401(k), and ESOP plans – enrollment, tracking, reporting. First point of contact for employee owners and retirees – answers questions via telephone, email, text; researches, provides information verbally or in written format promptly. Researches, analyzes, resolves employee retirement plan issues. Processes payments and deposits to/from the pension trust; maintains plan expense spreadsheets. Reconciles monthly and annually multiple retirement plan trusts. Runs eligibility files for third‑party administrators; researches, answers inquiries regarding data integrity, root cause analysis; works with IT team to test, update files to ensure correct data is reported. Tracks, reports data for multi‑employer pension and 401(k) plans; reviews vendor files to ensure ongoing data is correct and complete. Assists with annual governmental reporting: Form 5500, Form 8955‑SSA, annual PBGC report. Provides data requests to annual benefit plan auditors; completes reconciliations; answers questions regarding plan administration. Creates, maintains written documentation for HRIS systems; recommends streamlining, automation; proactively anticipates issues. Collaborates with payroll on deferrals, compensation totals, troubleshooting. Creates reports, queries for data requests; assists other team members with report requests. Reviews, updates, coordinates distribution of summary plan descriptions and benefit description booklets for employees and retirees. Develops, implements, coordinates mass mail/email campaigns of benefit communication materials, including legally required notices and employee presentations. Coordinates and travels to conduct employee benefit related meetings or fairs. Works on Human Resources and Benefits‑related projects with other team members. Maintains appropriate links/contact information on HR and vendor portals to ensure participants receive correct information. Travels may be required for meetings and/or site visits. Other duties as assigned. Qualifications
Minimum three years related experience in benefit plan administration. Technical and professional knowledge of JD Edwards, Oracle Fusion, benefits operations, and benefit laws (ERISA, PPA, SECURE Act, CARES, COBRA, HIPAA). Strong analytical math skills; determines benefits, payments, performs statistical analyses. Demonstrated accountability for tasks and duties. Efficient analysis of large data sets. Ability to understand, interpret, and follow technical documents. Maintains confidentiality and handles sensitive information. HRIS system and query report experience (e.g., Hubble). Advanced Excel skills; Microsoft Office proficiency. Bachelor’s degree required. Certified Employee Benefits Specialist (CEBS) or Retirement Plans Associate (RPA) certification preferred.
