Proposal Coordinator

This is a Hybrid position (three days in office) at one of our California offices. Working alongside colleagues, clients and partners, you will help shape projects and bring ideas to life.
Key responsibilities
Assist with writing and editing corporate documents such as proposals, reports, and communications.
Support the completion of persuasive proposals.
Create Word templates based on RFP, RFI, and RFQ documents, including detailed breakdowns and table of contents, and provide final formatting before delivery.
Coordinate and participate in proposal kick‑off meetings.
Provide graphics support for bid packages, statements of qualifications, and RFQs/RFIs.
Collect, reformat, and prepare 1‑2 page CVs; convert CVs to InDesign for complex proposals; maintain proposal‑specific CVs.
Coordinate with Marketing and Graphic teams for graphics support.
Coordinate proposal formatting, writing, editing, and proof‑reading efforts.
Assist with legal intake review tasks.
Support sub‑proposals as needed.
Assist with proposal close‑out.
Track online bid sites, update communications, and record win/loss status.
Clients
Internal proposal specialists/managers, project managers, subject‑matter experts, technical and marketing staff.
Members of the North America BD Group, project managers, marketing and communications groups, and drafting department.
Key Performance Indicators
Meet internal and external deadlines.
Effectively use PowerPoint to create key proposal graphics.
Break down RFP/RFI/RFQ into key components and table of contents.
Populate Strategic Win Plan based on RFP/RFI/RFQ.
Demonstrate teamwork abilities and willingness to help others.
Accurately apply GHD branding.
Experience
Proficiency in Microsoft Suite.
Knowledge of Adobe PDF.
Familiarity with Adobe Creative Cloud (InDesign).
Bachelor’s or Master’s degree.
1–3 years of experience in writing and editing.
Personal Competencies
