Position Overview The Design Coordinator plays a key role in ensuring every project moves smoothly from concept through construction. This position bridges the gap between clients, designers, vendors, and our production team to ensure that design intent, selections, and documentation are executed accurately, on time, and within budget.

This role requires strong organization, communication, and an eye for detail — someone who thrives in a fast-paced, design-driven environment and can juggle multiple projects without sacrificing quality or professionalism.

Key Responsibilities Client Coordination

Serve as a primary point of contact for clients during the design and pre-construction phases.

Guide clients through the selections process — finishes, fixtures, appliances, and materials — ensuring alignment with design goals and budget.

Maintain clear and proactive communication to provide a white-glove experience throughout the project.

Design Development & Documentation

Collaborate with architects, interior designers, and vendors to collect, organize, and verify all specifications.

Prepare and maintain Finish Schedules, Selections Logs, and Room-by-Room Design Binders.

Review design drawings and plans to confirm details are consistent with client selections and construction feasibility.

Support estimating by sourcing materials and obtaining pricing for design selections.

Project Coordination

Ensure all approved design selections are entered into Buildertrend and properly coded for estimating and procurement.

Track lead times, material orders, and delivery schedules; communicate any potential delays to the production team.

Attend key jobsite meetings during the early phases of construction to verify design intent and assist with field coordination.

Brand & Aesthetic Support

Maintain Woolsey’s design library — samples, catalogs, and vendor contacts.

Assist with styling and staging for professional photography and client reveal days.

Support marketing initiatives by coordinating photography of completed projects and documenting design details for portfolio use.

Skills & Qualifications

Bachelor’s degree in Interior Design, Architecture, or related field (or equivalent experience).

1‑3 years of experience in design coordination, interior design, or residential construction administration.

Strong understanding of materials, finishes, and custom residential design.

Proficiency with design software (SketchUp, AutoCAD, or Revit) and project management tools (Buildertrend preferred).

Excellent written and verbal communication skills.

Strong organizational and time management skills; ability to handle multiple active projects.

Detail-oriented with an eye for craftsmanship, aesthetics, and accuracy.
