About This Role The Document Control Governance Manager is responsible for developing, implementing, and maintaining document management systems to ensure accurate control, distribution, and tracking of engineering, procurement, and construction documents. This role ensures that all project documentation and Company processes and procedures are managed according to Company standards, client requirements, and regulatory obligations.
What You’ll Do
Develop, implement, and maintain document control procedures aligned with project requirements and Company standards
Administer electronic document management systems (EDMS) such as ACC, Procore, SharePoint, or similar platforms
Ensure consistent document naming, numbering, versioning, and metadata tagging across all projects
Own, manage, and maintain the Company-wide Processes and Procedures Library to ensure all corporate standards, templates, and controlled documents are current, accessible, and version‑controlled
Manage receipt, review, distribution, and archiving of all project documents (engineering drawings, vendor data, RFIs, transmittals, contracts, etc.)
Ensure timely submittal and approval of documentation to meet project milestones
Track revisions, maintain audit trails, and ensure obsolete documents are removed from circulation
Interface with engineering, procurement, construction, and quality teams to ensure document flow supports project needs
Liaise with clients, subcontractors, and vendors to manage documentation exchange
Facilitate document reviews and ensure comment incorporation and approval cycles are completed
Ensure document control practices comply with ISO 9001, ISO 19650, and project‑specific quality management systems
Conduct internal audits and prepare reports on document control performance
Support QA/QC documentation and turnover packages for project closeout
Supervise and mentor document control staff
Provide training to project teams on document management tools and procedures
Lead process improvement initiatives to enhance efficiency and consistency in document control
Perform other duties as assigned
Adhere to all internal standards, policies, and procedures
What You’ll Bring
High school diploma, or equivalent
7 years of experience in document control, with at least 5 years in EPC or construction projects
Proven experience with engineering deliverables, vendor documentation, and construction records
Strong knowledge of EDMS platforms (e.g., Procore, Documentum, SharePoint, or similar)
Bachelor’s degree in Business Administration, Information Management, or a related field
Certification(s) in document control or records management
Comprehensive understanding of document management processes, including document workflows, revision control, and metadata administration to ensure accuracy, traceability, and compliance.
Proactive and self‑motivated professional with the ability to anticipate project needs and drive results with minimal supervision
Collaborative team player who excels at working independently as well as fostering strong cross‑functional partnerships across engineering, procurement, and construction disciplines
Analytical problem‑solver skilled in evaluating complex issues, identifying root causes, and implementing effective solutions in a fast‑paced project environment
Proven team leadership and mentoring abilities, with a focus on building high‑performing, cohesive document control teams
Exceptional interpersonal and stakeholder engagement skills, able to communicate and collaborate effectively with colleagues, clients, and vendors at all levels
Highly organized and detail‑oriented, with strong time‑management and prioritization capabilities to meet multiple deadlines simultaneously
Excellent written and verbal communication skills, with a commitment to clarity, accuracy, and professionalism in all correspondence
Technically proficient, with advanced knowledge of Microsoft Office applications and familiarity with electronic document management systems (EDMS) such as Procore and SharePoint
