Position Overview
We are seeking a highly skilled and resourceful
Executive Assistant
to provide strategic, administrative, and operational support to our executive leadership team. This individual will serve as a trusted partner—managing complex schedules, coordinating high-level communications, leading executive projects, and ensuring seamless operations across multiple business functions. The ideal candidate will thrive in a fast-paced, dynamic environment and demonstrate exceptional judgment, discretion, and professionalism.
Key Responsibilities
Executive Support:
Provide comprehensive administrative support to the executive(s), including complex calendar management, travel coordination (domestic and international), expense reporting, and correspondence.
Strategic Coordination:
Partner closely with leadership to drive key priorities, track deliverables, and ensure alignment across departments and stakeholders.
Meeting & Communication Management:
Plan and coordinate executive meetings, board sessions, and leadership offsites. Prepare materials, agendas, presentations, and briefing documents as needed.
Confidentiality & Professionalism:
Handle sensitive information with absolute discretion and sound judgment, serving as a gatekeeper and liaison between executives and internal/external partners.
Operational Efficiency:
Streamline administrative processes, identify opportunities for improvement, and proactively solve problems before they arise.
Relationship Management:
Build strong relationships across all levels of the organization and externally with clients, partners, and vendors on behalf of the executive team.
Project Management:
Lead or assist in special projects, event planning, and cross-functional initiatives that advance the company’s strategic goals.
Qualifications
Bachelor’s degree required; advanced degree or executive office certification preferred.
7–10+ years of experience
supporting C-level executives in a fast-paced, corporate or entrepreneurial environment.
Exceptional written and verbal communication skills.
High level of professionalism, discretion, and emotional intelligence.
Expert proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Slack, Zoom, Concur).
Strong organizational, analytical, and time management abilities with meticulous attention to detail.
Proven ability to anticipate needs, take initiative, and operate independently with minimal supervision.
Comfortable managing competing priorities and adapting quickly to change.
Base pay range
$30.00/hr - $38.00/hr
