Role Description Account Executives oversee the day‑to‑day bookkeeping and financial operations for assigned clients, including payables/receivables, payroll processing, bank reconciliations, invoicing, and revenue tracking. They assist the business management team with financial reporting, budgeting and cash‑flow projections; calculate client commissions; and manage royalty tracking. This is a client‑facing role that requires excellent communication and organization, and the position is full‑time with a hybrid schedule (remote + in‑person). Candidates must be located in Nashville, TN.
Key Responsibilities Bookkeeping and Financial Operations
Oversee weekly A/P processing, ensuring accuracy and timely payments.
Review all bank activity.
Track deposits, maintain income checklists, and follow up on missing or overdue revenue.
Prepare client rebills and expense reports; distribute and manage approval workflow.
Review and circulate monthly credit card statements to clients/cardholders.
Review and process client payroll, including onboarding of new employees, maintaining state payroll tax accounts and ensuring accurate benefits administration.
Calculate and process client commissions.
Royalty Administration
Ingest and review publishing and master royalty statements.
Maintain songwriter/producer catalog database.
Manage incoming client contracts for advances and royalties due.
Assist in verifying that all royalty sources are accounted for (performance, mechanical, digital, neighboring rights).
Identify missing or underpaid royalties; coordinate with PROs, publishers, labels, distributors, and royalty collection agencies (ASCAP, BMI, SESAC, The MLC, SoundExchange, etc.).
Provide summaries and assist the Business Manager in high‑level royalty reporting and client communication.
Reporting and Compliance
Compile semi‑annual financial reports and assist with cash‑flow projections.
Support tax preparation: compile year‑end financial packages for accountants.
Maintain insurance and client info checklists; coordinate with Business Manager on renewals.
Client Communication and Coordination
Serve as a professional, client‑facing representative of Luma.
Proactively communicate deadlines, missing items, and financial updates to clients and internal teams.
Maintain organized client folders and ensure documentation is current and complete.
Manage special client projects and assist the Business Manager as needed.
Qualifications Required
2+ years of business management, accounting, or related experience (entertainment industry strongly preferred).
Working knowledge of the music royalty ecosystem (publishing and master), including sources (performance, mechanical, digital, neighboring rights), common statement formats, splits, and recoupment concepts.
Strong Excel & Outlook skills; comfort with data imports, lookups, pivots, and reconciliations.
Excellent written and verbal communication; highly organized with strong attention to detail.
Proven time‑management and prioritization; ability to work independently once trained.
Associate’s or Bachelor’s degree in accounting, business administration, or a related field.
Preferred
1+ year of hands‑on royalty administration experience (e.g., processing statements, registrations, dispute resolution).
Experience with QuickBooks and Adobe Acrobat.
Familiarity with royalty portals/tools (e.g., ASCAP/BMI/SESAC, The MLC, SoundExchange) and label/publisher/distributor reporting.
