What you will be doing
Provide comprehensive executive support, including strategic calendar management, meeting coordination, and complex travel planning to optimize the President/COO’s time and priorities.
Prepare and edit correspondence, reports, presentations, and other business materials with a strong attention to accuracy and clarity.
Manage meeting logistics such as preparing agendas, taking minutes, tracking action items, and following up on deliverables.
Serve as a key liaison between the President/COO, internal departments, and external partners to facilitate effective communication and collaboration, as needed.
Support company events, leadership meetings, and other related activities as needed.
Maintain a high level of confidentiality when handling sensitive company documents.
Anticipate the needs of the President/COO and identify opportunities to enhance executive efficiency and effectiveness.
Perform other duties, as assigned.
What you already have Education, Experience, and Licensing
High school diploma required, bachelor’s degree in business administration or related field preferred.
Minimum 5 years of executive support experience, preferably within insurance, financial services, or regulated industries, ideally supporting C‑suite leaders.
Experience working in a startup company or directly for an entrepreneur preferred.
Qualifications / Skills and Competencies
Exceptional organizational and time management skills, with the ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
Excellent written and verbal communication skills with a polished, professional demeanor.
Proven ability to exercise sound judgment, discretion, and independent decision‑making.
High level of integrity, adaptability, and discretion when managing confidential information.
Advanced proficiency in Microsoft 365 applications (Teams, SharePoint, Word, Excel, PowerPoint, and Outlook).
