The Administrative Services Coordinator

will serve as the primary front desk receptionist for the Department of Teaching and Learning in the College of Education and point of contact for faculty and students, including in person, phone, and written communication and will provide operational support for the department and administrative support to the Chair and other duties as assigned. The responsibilities require skills in problem solving, discretion, and independent judgement. The person in this position will be part of a team that provides a welcoming environment and establishes and maintains effective working relationships with faculty, staff, and students. Location:

on-site in the College of Education, Department of Teaching and Learning, Lindquist Center. Remote work is not available. Specific Job Duties and Tasks : Serve as primary front desk reception for the Department of Teaching and Learning in the College of Education. Assist with maintaining the learning library center. Evaluate and initiate requests for services, supplies, equipment, maintenance, space management, and renovation. Provide support for faculty searches. Provide assistance with visiting scholar and faculty appointments. Coordinate HR appointments with academic program coordinator. Coordinate financial transactions with University Shared Services. Responsible for initiating purchases for events and programs. Develop and revise departmental informational materials for distribution. Coordinate first point of contact for constituents seeking information or services including responding to non- routine inquiries at the front desk. Act as front-line liaison with faculty, staff, students, and public regarding inquiries and requests, requiring discretion, and independent judgment. Answer main office telephone lines. Answer questions or refer to appropriate other areas for assistance. Schedule meetings as needed or refer to appropriate other areas. Required Qualifications: Experience working in an office setting with a customer service focus and/or administrative processes and associated operating requirements; ability to apply this knowledge appropriately to various situations. (Experience typical of six months -1 year) Proficient in computer software applications such as Microsoft word, email, Excel, PowerPoint, Teams, Outlook, and Zoom. Demonstrated experience working effectively in a welcoming and respectful environment. Ability to foster a welcoming and respectful workplace environment while recognizing personal differences. Demonstrates excellent verbal and written communications skills; ability to effectively transmit, receive, and interpret ideas, information, and needs through appropriate communication methods and behaviors. Desired Qualifications: Experience working in an academic environment or in a K-12 school setting. Knowledge of university policies, procedures, and regulations.
