Administrative Coordinator I - Arts & Sciences, Chemistry Washington University in St. Louis is seeking an Administrative Coordinator I for the Arts & Sciences, Chemistry department.

Overview Provides general administrative project and/or program support for department or program areas.

Primary Duties & Responsibilities

Serve as the lead coordinator for department events and seminars (e.g., alumni annual events, student events, department events, named lecture banquets, and outreach/industry events). Coordinate space needs, catering or food and beverage purchases, travel for visitors, and collaborate with faculty and staff on programming and AV or other event needs.

Assist the Department Outreach Coordinator with faculty interview visits, graduate student recruitment outreach, building industry partnerships, and alumni association management and outreach. Duties include managing events, booking travel and accommodations, and related tasks.

Provide general administrative support across department needs (copier management, light course materials assistance, directing visitors, handling inquiries, maintaining files, ordering supplies, requesting maintenance or facilities actions, etc.).

Maintain a system for managing reservations for Chemistry-controlled conference rooms and classrooms; verify and confirm reservations and communicate with faculty, staff, and external parties regarding the scheduling system and any conflicts.

Assist with department communications including annual newsletter dissemination, alumni programming communications, events and fundraising/gifts communications, and updating department websites to ensure information is current.

Assist with event budget development and tracking, including monitoring expenses.

Perform other duties as assigned.

Salary Range $19.29 - $29.91 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including qualifications, performance, equity, market rates, and department budget.
