Position Purpose & Summary
The Medical Front Desk Coordinator is a multi-functional front-line role responsible for providing support and information about the full-spectrum health and wellness activities and services offered by Strata Med. In this role, the right candidate is responsible for offering necessary assistance, guidance, and support to members, guests, visitors, and patients.
The Medical Front Desk Coordinator delivers professional, patient-centered services for a variety of wellness programs and services. They engage continuously with members, patients, guests, visitors, and vendors, as well as various members of the Strata and GGRC teams, to deliver a world-class health and wellness experience for all. Responsibilities include answering phones, checking patients in/out, daily balancing, scheduling meetings, managing correspondence, and participating in clinical meetings.
The coordinator must maintain professionalism, strong interpersonal skills, a positive attitude, and composure under pressure. This role is crucial as the first impression via phone, email, or in person, and for the overall success of Strata.
Essential Functions
Greet visitors proactively with a warm, welcoming demeanor.
Establish quick connections with members, guests, visitors, and patients.
Respond promptly to inquiries with knowledgeable, clear information about services and treatments.
Explain concepts simply to help members and patients make informed decisions.
Ensure satisfaction and provide guidance and support.
Promote Strata Med and Garden of the Gods Resort and Club.
Provide administrative support including patient check-in/out, payment processing, EMR management, scheduling, insurance verification, and client workflow management.
Assist with clinical scheduling, referrals, and patient engagement.
Distribute and monitor patient surveys for improvement.
Interact with members, guests, visitors, and patients via multiple channels.
Handle problems and complaints professionally, escalating as needed.
Perform opening and closing procedures, monitor office environment and promotional materials.
Process orders and inquiries about deliveries.
Coordinate with internal departments and participate in team meetings.
Professional Requirements
High school or college degree or equivalent.
At least 1 year of experience in a healthcare setting.
Customer service experience, preferably in healthcare or high-volume service industries.
Personal transportation if needed between locations.
Minimum Knowledge
Attention to detail, organization, teamwork, and mission-driven mindset.
Adherence to policies and procedures.
Excellent communication skills and diplomacy.
Ability to work independently and manage HIPAA compliance.
Proficiency in computer systems, EMRs, and MS Office.
Schedule & Compensation
Non-exempt, Monday-Saturday schedule, up to 40 hours/week.
Benefits start the first of the month, 60 days after hire.
Compensation based on experience and contribution.
Physical & Environmental Conditions
Roles involve prolonged sitting/standing, repetitive tasks, light lifting, and working in indoor environments with some ergonomic risks. Environmental factors include working inside/outside, with others, and around machinery or chemicals.
