This position requires managing patient intake and registration processes in the Emergency Department. The ER Registrar gathers and verifies personal, insurance, and medical information, ensures accuracy and confidentiality of patient records, and delivers high-quality customer service to patients and their families. The ER Registrar supports efficient department operations by facilitating accurate documentation, insurance verification, and communication across clinical and administrative teams.

Essential Functions

Greets patients and families in a professional and compassionate manner, ensuring a positive first impression.

Registers patients for emergency services, obtaining all required personal, insurance, and medical information.

Verifies patient identification and insurance details, updating patient records as needed.

Obtains patient or appropriate family member signatures on consent authorization forms and explains each consent prior to signing.

Verifies insurance coverage and eligibility, ensuring necessary information is captured for billing.

Collects patient co-pays or deductibles when applicable and informs patients of financial obligations.

Assists patients with understanding insurance requirements and resolves insurance-related questions.

Documents when the patient is unable to sign consent forms and notes if a family member signs; nursing staff may sign as appropriate.

Verifies insurance and identifies proper plan codes to ensure accurate and prompt payment.

Compiles the necessary paperwork to ensure quick retrieval and processing of the patient's visit.

Places an armband on each patient before they leave the department for proper identification.

Notifies department or physicians of the patient arrival and follows up if there is extended patient waiting.

Maintains communication with key personnel during emergency codes and alerts the facility when emergency plans are in place.

Performs other duties as assigned and maintains regular, reliable attendance.

Complies with all departmental policies and standards.

Qualifications

Post-secondary education or training in medical office administration or healthcare administration preferred.

0-2 years of experience in a healthcare setting including patient registration, medical office scheduling, or front desk/admissions required.

0-2 years of experience in customer service preferred.

Knowledge, Skills, and Abilities

Strong communication and customer service skills.

Knowledge of insurance verification and basic medical terminology.

Ability to maintain accuracy and attention to detail in a fast-paced environment.

Familiarity with electronic health record (EHR) systems and registration software.

Ability to manage sensitive and confidential information appropriately.

Effective interpersonal skills to work with patients, families, and healthcare teams.

Ability to remain calm and professional in high-stress or emergency situations.
