Advertised Job Summary Coordinator for Russell House Events Can you juggle multiple events, clients, and deadlines with precision and professionalism? Are you passionate about creating meaningful campus experiences for students and the university community? The Coordinator for Russell House events executes and coordinates the facility reservation process. The coordinator manages event details, advises clients on appropriate facility uses, food and vendor policies, and provides availability and costs of event spaces. The coordinator, along with the student reservation team, works closely with clients to confirm details, resolve logistical needs, and provide a smooth, well-prepared experience for over 10,000 events that take place in Russell House. This oversight ensures safe and well-executed events occur in the Russell House University Union to support the recruitment and retention goals of the university.
Day to Day Responsibilities
Serve as the primary contact for scheduling events in Russell House
Advise clients on food policies, vendor requirements, and event planning best practices
Lead and support the student Event Reservation Specialist Team
Assist in planning and executing departmental events tied to student engagement and university initiatives

Qualifications Job Related Minimum Required Education and Experience:
Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred Qualifications:
Experience working in a university setting with activities and event planning. Knowledge of an event planning software. Understanding of student development theory.
Knowledge/Skills/Abilities
Verbal, written and organizational skills.
The ability to manage multiple tasks and concurrent requests with a high level of accuracy.
High degree of discretion.
Job Duties and Functions
Serve as primary scheduler for events and activities which take place in University Union facilities. This includes event planning functions with clients and campus partners. Ensure events are following facility policies and appropriate utilization of Russell House.
The Event Reservations Coordinator supervises the Event Reservation Specialist Team by reviewing, processing, and managing all event requests for the Russell House University Union. This role ensures that submitted events meet established guidelines, coordinates with internal teams to confirm space availability, and helps secure necessary resources such as equipment and technical support.
Plan and execute departmental events for students alongside campus stakeholders and partners related to contractual agreements or as part of the recruitment and retention initiatives of the unit.
Develop associated budgets, manage expenditures, and revenue streams utilizing specified tools.
Partner and collaborate with key campus offices to ensure programs, services, and activities support an inclusive Student Life environment.
Other duties as assigned.
