Job Description
Responsibilities include scheduling appointments, answering the telephone, setting up new clients and patients, preparing and maintaining medical records, admitting and discharging patients, filling some office prescriptions, over-the-counter sales, mailings, computer operations, financial transactions, filing, and maintaining the front office and reception areas. Other duties: Make a good first impression on clients; smile and be professional. Set a positive tone. Maintain a professional appearance in clothing and attitude. Greet clients and patients warmly. Be professional, ethical, and friendly always, even with difficult clients. Answer phones, sort and deliver mail, answer emails. Make and confirm appointments via phone or email. Remind owners to fast patients before surgery. Check voicemail and return calls promptly to verify patient responses. Promote the practice by attending events and distributing business cards. Escort clients into exam rooms. Check on clients waiting for extended periods; offer refreshments. Enter all client data into the computer. Scan faxes and paper forms into medical records. Serve as the initial point of contact for clients. Mail or email information to clients. Understand vaccination protocols, basic lab tests, common diseases, and pet behavior. Use computers and software effectively. Process payments and record transactions. Perform day-end closeout tasks. Assist clients to make their visits easier. Prepare weekly orders for prescriptions and diets. Assist clients with food and pet transportation if needed. Create new client records and verify invoice accuracy. Maintain cleanliness of the hospital front and outside areas. Fill medications if technicians cannot, verify refills, and call prescriptions to pharmacies if authorized. Assist veterinarians and technicians with procedures. Attend staff meetings and ask questions when in doubt. Strive for continuous improvement and suggest hospital improvements. Notify veterinarians of special occasions or life events of clients or pets. Support the smooth operation of the hospital. Familiarize with other job descriptions and follow protocols from the employee manual.
