The mission of the Roman Catholic Archdiocese of Washington is to spread the light of the Gospel of Jesus Christ. The Archdiocese is seeking a Parish Office Assistant for Saint Ignatius Catholic Church, Oxon Hill. The Parish Office Assistant reports to and performs general secretarial support for the Pastor, including typing, establishing/maintaining a mailing list/database, managing telephone calls, maintaining the office calendar and weekly parish bulletin, handling correspondence and document preparation, scheduling appointments and volunteers, managing office inventory/purchasing, and other office duties.
Responsibilities
Provides receptionist services for the parish.
Transcribes and forwards clear and accurate communications.
Handles routine questions about parish operations.
Greets and meets visitors.
Provides secretarial and clerical services to the Pastor and parish staff.
Prepares regular and bulk communications and reports.
Maintains files for religious education, formation, and other programs.
Screens and distributes mail, email, calls, and related correspondence.
Maintains filing systems and records.
Manages inventory of general office supplies.
Provides recordkeeping services for the office (e.g., directory, mailing list, events calendar, check requests).
Coordinates and schedules volunteers.
Oversees parish bulletin creation, printing, and distribution.
Assists various ministries with document production, signs, and related tasks.
Attends pastoral council and finance committee meetings virtually, taking notes and producing minutes.
Maintains filing systems for contracts, equipment, rentals, and related documents.
Maintains Mass intention records, stipends, and related records.
Maintains files for property renovation and related materials.
Manages inventory of sacramental records and supports sacramental administration (baptism, confirmation, marriage, funeral) with respect to confidentiality.
Maintains parish databases (ParishSOFT FamilySuite or successor).
Maintains parish website and social media presence.
Interfaces with the Archdiocese Archivist for cemetery and sacramental records projects as needed.
Opens and/or closes the office and related duties.
Qualifications
Required Education and Experience Must be a practicing Catholic, High School diploma required, 3 to 5 years of administrative experience preferred.
Knowledge, Skills And Abilities Typing 50+ wpm. Strong oral and written communication, excellent organizational and people skills. Advanced skills in MS Office (Word, Excel) required; knowledge of ParishSOFT software is a plus.
Work Environment
This job operates in an office setting and routinely uses standard office equipment. Reasonable accommodations may be made for individuals with disabilities. The role supports two co-located parishes of the Latin Rite with unified operations. All working hours are managed via the Archdiocesan Workforce Management System. Confidentiality of parishioners’ information and contributions is vital and includes clearance paperwork from the Archdiocese.
