Elementary School Administrative Assistant (Part Time)
TYPE OF POSITION: Part‑Time Elementary Administrative Assistant, as set forth in the agreement between the Seekonk School Committee and Administrative Secretaries of Local 1701, State Council 93, American Federation of State, County and Municipal Employees, AFL‑CIO.
HOURS: 15 hours per week, 9:00 AM to 12:00 PM Monday through Friday.
PAY: Salary range of $18.65 to $25.39 per hour.
START DATE: Immediate.
LOCATION: George R. Martin Elementary School.
REPORTS TO: Building Principal.
BASE PAY RANGE: $18.65/hr - $25.39/hr.
Qualifications
Proficient computer skills (Google Suites, Microsoft Suites).
Highly developed organizational skills.
Flexibility.
Ability to multitask.
Ability to work with multiple stakeholders.
Responsibilities & Essential Functions
Supporting the administrative needs of Martin Elementary School.
Keeping a record of daily staff attendance.
Maintaining student attendance, running attendance reports for report cards, and making daily calls to homes for unreported absences.
Distributing and collecting time sheets for weekly payroll and completing payroll reports to be submitted to Administration offices.
Maintaining substitute list and payroll.
Keeping a calendar of all events held at Martin Elementary School, tracking building usage forms, and collecting any necessary fees.
Answering telephone calls with proper etiquette, taking messages, and directing calls to appropriate mailboxes.
Maintaining building security by monitoring all visitors, assigning visitor passes, verifying parent ID, and checking student dismissal.
Maintaining logs of legal/custody forms, legal documents, and restraining orders.
Distributing and maintaining records of school flyers, PTO flyers, and approved flyers; maintaining notice lists.
Performing school-level CORI tasks and verifying that all parents, friends, or family members attending field trips or volunteering have a current CORI check in file.
Ordering supplies for the main office and maintaining inventory.
Maintaining copy machine supplies and ensuring readiness of office equipment.
Maintaining records of purchase orders and verifying deliveries.
Creating and maintaining files using Google Suites or Microsoft Suites.
Registering all new students per enrollment and residency procedures and forwarding copies of departing students.
Posting and distributing registration notifications for incoming preschool and kindergarten students.
Maintaining active student files and printing report cards and envelopes.
Compiling class lists and up‑to‑date student information.
Maintaining and creating pages on the Martin website using Google Sites.
Compiling field trip rosters and retaining school copies.
Compiling statistics for reporting and running reports for Principal and Superintendent.
Creating and editing the monthly Martin newsletter.
Distributing all incoming mail.
Creating all correspondences requested by the Principal.
Monitoring applications for the free and reduced lunch program; calculating figures, obtaining approval, mailing decision letters, and forwarding to administration.
Maintaining a schedule of appointments and arranging conferences and interviews.
Performing duties requested by the Principal and supporting other staff.
Maintaining professional relationships with students, staff, and families.
Working closely with the second office secretary to ensure consistent office coverage.
